WhatsApp CRM Integration: Connect Your CRM to WhatsApp

By Alva Chew 3 min read Updated October 30, 2026

A WhatsApp CRM integration should work in both directions. When a customer messages you, AeroChat looks them up in your CRM and uses what it already knows, such as their owner, their open deal or their last booking. As the conversation goes on, it writes back what the customer says: a new contact, the answers that qualify them, a deal in the right stage, a note or a ticket. It connects through each CRM’s public API, and you describe the workflow in your own words.

Salon, clinic, fitness, property, education and field-service systems hold your client records too, so they connect the same way.

How the connection works

In your CRM you create an API key or access token, or approve AeroChat when asked, depending on the system. Each integration page explains the steps for that CRM. You then describe the workflow in your own words, and AeroChat builds it as a draft and asks you to connect. Keys are entered in the AeroChat dashboard and never pass through the conversation.

Using a different system? If it has a public API, it connects to AeroChat the same way: describe what you want, paste in its key, and it runs.

What it costs on WhatsApp

Messages customers send you are free. AeroChat’s replies inside the 24-hour window are free up to 1,000 a month per business phone number, then charged per message. Follow-ups after the window closes need an approved template, charged per message. Rates vary by country and are set in Meta’s rate cards. AeroChat passes Meta’s WhatsApp fees through at cost.

Questions

Can WhatsApp messages go straight into my CRM?

Yes. AeroChat creates or updates the contact as the conversation happens and adds a note of what was asked, so nobody copies chats across by hand.

Can AeroChat read from my CRM, not only write to it?

Yes. It looks up the contact, deal, booking or ticket the customer asks about and answers from it, then updates the record with what they say.

Do I need a developer?

No. You create a key or approve access in your CRM, describe the workflow in your own words and switch it on.
