How the connection works

AeroChat connects through HubSpot’s public CRM API. It reads and writes contacts, companies, deals, tickets and notes, and links them to each other. Each workflow uses only what its recipe asks for.

To connect, a super admin in your HubSpot account creates a private app for AeroChat, gives it the scopes the workflow needs (for example, read and write contacts and deals), and copies its access token. Paste the token into the AeroChat dashboard when AeroChat asks.

You describe the workflow in plain English. AeroChat builds it as a draft, works out which HubSpot calls it needs, and asks you to connect. Keys and credentials are entered in the AeroChat dashboard and never pass through the conversation.

When someone gives their name and email or phone number in chat, search HubSpot for a contact with that email or phone. If there is one, update it. If not, create a contact with their name, email, phone and the channel they used. Add a note to the contact with a short summary of what they asked about. Set the lead source to chat.

When a customer reports a problem with an order or a service, ask for their order number and a short description. Find their contact in HubSpot by email or phone. Create a ticket linked to that contact with the order number and description, in the New stage. Tell them our support team will reply within one working day (example) and hand the conversation over.
