Connect Freshsales to WhatsApp, Instagram, TikTok and AI Chat
Leads and customers message you on WhatsApp, Instagram, Messenger, TikTok, Telegram, web chat or email, but your sales pipeline lives in Freshsales. AeroChat answers those conversations and works with Freshsales in both directions: it looks up the contact and their deals when a customer asks, and it creates contacts, deals, notes, tasks and appointments from what the customer says. It connects through Freshsales’ public API. You describe the workflow in your own words, and AeroChat builds it.
What you can do with Freshsales and AeroChat
- Create Freshsales contacts from chat leads. AeroChat creates or updates the contact with the lead source and adds a note of the conversation.
- Answer deal status questions. AeroChat finds the customer’s open deal and tells them the stage and who owns it.
- Open deals for qualified leads. AeroChat asks your qualifying questions and creates a deal in the right pipeline stage.
- Log follow-up tasks. When a customer asks for a call back, AeroChat creates a task for the contact owner.
- Route conversations to the owner. AeroChat hands the chat to the sales owner named in Freshsales.
Works on every chat channel
Your leads and customers message you wherever they already are. The same Freshsales connection and the same workflows run on every channel AeroChat supports, and Freshsales stays the record whichever one they use.
| Channel | What your leads and customers can do |
|---|---|
| Message your WhatsApp Business number to ask about your products, leave their details or check where their deal stands. Voice notes are transcribed, so a spoken request works too. | |
| Send the same requests by direct message. A comment on your post can get an automatic reply that moves the conversation to a DM. | |
| Facebook Messenger | Send the same requests to your Facebook Page. Comments on your Page posts can get an automatic reply too. |
| TikTok | Send the same requests by TikTok direct message or TikTok Shop buyer chat. Both arrive in the same TikTok inbox. |
| Telegram | Send the same requests to your business on Telegram. |
| Web chat | Do the same from the chat on your website, without leaving the page. |
| Write to your Gmail or Office 365 address and get the same answer the chat gives. |
How the connection works
AeroChat connects through Freshsales’ public API. It reads contacts, accounts and deals, and it creates and updates contacts, deals, notes, tasks and appointments. Each workflow uses only what its recipe asks for.
To connect, you copy your API key from Profile Settings, then API Settings, in Freshsales, along with your account URL (for example, yourcompany.myfreshworks.com). The details are in Freshsales’ API documentation. Paste both into the AeroChat dashboard when AeroChat asks. AeroChat then works with the same permissions as that user.
You describe the workflow in your own words. AeroChat builds it as a draft, works out which Freshsales calls it needs, and asks you to connect. Keys and credentials are entered in the AeroChat dashboard and never pass through the conversation.
Workflows to copy
Copy this into AeroChat
When someone gives their name and email or phone number in chat, search Freshsales for a contact with that email or phone. If there is one, update it. If not, create a contact with their name, email, phone and the channel they used. Set the lead source to Chat (example). Add a note to the contact with a short summary of what they asked about.
Copy this into AeroChat
When a customer asks how their order or proposal is going, find their contact in Freshsales by phone or email. Find their open deal and tell them the stage in plain words and the name of the deal owner. If they ask for a call back, create a task for the owner due the next working day (example).
Who uses it
Any business that runs its sales pipeline in Freshsales can use it. Suppliers and distributors that sell to other businesses use it for quote requests and account questions that arrive in chat. These industry recipes follow the same pattern:
- B2B suppliers and distributors, for trade buyers who order and ask questions in chat.
- Quote requests
- Sales rep handover
What stays in Freshsales
Freshsales stays your record. Contacts, accounts, deals, sequences and reports live there, and your team still works and closes the deals.
AeroChat handles the conversation. It looks up, creates and updates the records your recipe asks for and leaves the rest to Freshsales and your team.
