Spa First-Visit Offers and Promotions Answered in Chat
A spa that advertises a first-visit price on Instagram or Facebook gets a burst of messages: “Is the first-visit offer still on?”, “How much is it after the offer?”, “Can I use it for a couples massage?”. The answers are in your promotion terms. The sale is lost if the answer comes the next day. This recipe answers from the offers you list, checks the customer is new, and books them in the same conversation. Part of the spa and wellness workflows.
What happens today
An ad runs on Friday evening. The messages arrive over the weekend, while the desk is busy with walk-ins. Replies go out on Monday. Some customers have booked elsewhere. Others got different answers from different staff about whether the offer applies to a 90-minute session, and one was given a discount that was never on offer.
The flow that works
- The customer arrives from an ad, a post comment or a direct message and asks about an offer.
- AeroChat answers with the offer as you wrote it: the price, what it covers, the conditions and the end date.
- It checks whether they are new, from your bookings Sheet where it can, or by asking.
- If they qualify, it moves straight into booking, with the offer noted on the booking.
- If they do not qualify, it says so plainly and offers your regular menu or a returning-customer offer if you have one.
On Instagram and Facebook, AeroChat also replies to comments on your posts, so a “Price?” comment under an ad gets a reply and a direct message. Comment replies are a channel setting in AeroChat, switched on separately from this recipe.
The recipe

When a customer asks about a promotion, a first-visit offer or a discount, follow these steps.
- Answer only from our current promotions list. For each offer, give the price, what is included, who qualifies and the end date. Example: “First visit: 60-minute aromatherapy massage at US$68 instead of US$118, for new customers only, until 30 November 2026.”
- If they ask about an offer that is not on the list, tell them it is not available and share the offers that are.
- Check whether they are a new customer by looking up their phone number in our bookings Sheet. If there is no match, ask: “Is this your first visit to us?”
- If they qualify, ask whether they would like to book, and follow our booking steps. Note the offer name on the booking and in the bookings Sheet.
- If they do not qualify, tell them politely and offer our regular treatment menu.
- Never combine two offers, never extend an end date and never offer a discount that is not on the list. If they ask for any of these, say a team member will reply and hand over.
Keep your promotions list up to date in the knowledge base. When an offer ends, delete it, and AeroChat stops quoting it.
What to connect
- Your promotions list, uploaded to the knowledge base, with each offer’s price, inclusions, conditions and end date.
- Your bookings Sheet and Google Calendar, to check whether a customer has visited before and to make the booking. This is the same connection as the booking recipe. Without a customer lookup, AeroChat asks the customer and records the answer.
- Spa and salon booking software, if your spa runs on it. A solo therapist or a small studio can run on Google Calendar. Larger spas usually book through spa and salon software instead. Zenoti, Phorest and Mindbody each publish an API for appointments, so AeroChat can check availability and make, move or cancel bookings there in place of Google Calendar. Describe your system in the recipe and paste in its API key.
- Your channels: WhatsApp, Instagram and Facebook Messenger connected to AeroChat, with comment replies switched on for the posts you promote.
- Click-to-WhatsApp ads, if you run them. Meta does not charge for messages in the free entry window these ads open (Meta WhatsApp pricing). See click-to-WhatsApp ads.
Using a different system? If it has a public API, it connects to AeroChat the same way: describe what you want, paste in its key, and it runs.

What you still decide
- Which offers exist, their prices and their end dates.
- Who counts as a new customer.
- Whether offers need a deposit, and whether they can be booked for a friend.
- Whether there is a follow-on offer for a second visit.
AeroChat quotes only what is on your list. A customer who pushes for a better price gets a polite no and a person, never an invented discount.
The result to expect
Ad and post enquiries get an answer within a minute, including at weekends, while the customer is still looking at your ad. Meta’s research shows how customers feel about messaging a business.
| Finding | Share of consumers |
|---|---|
| More likely to buy from a brand that offers messaging | 72.4% |
| Prefer messaging when contacting a business | 73.3% |
| Frustrated when messaging is not offered | 66.8% |

Track the result simply: bookings tagged with the offer name in your bookings Sheet, against the ad spend for the same period.
