Sell Spa Gift Vouchers in WhatsApp With a Payment Link

By Alva Chew 5 min read Updated October 25, 2026

Gift voucher requests arrive in bunches before Mother’s Day, Valentine’s Day, Christmas and other gifting holidays: “Do you sell gift vouchers? It’s for my mum’s birthday.”. Each one is a sale that needs four or five messages and a payment, at the busiest weeks of your year. This recipe takes the order, sends a payment link, records the paid order in your Google Sheet and tells your team to issue the voucher. Part of the spa and wellness workflows.

What happens today

The customer asks. The receptionist replies with voucher values, asks for the recipient’s name and a message, then asks for a bank transfer and a screenshot. The customer sends it in the evening. The receptionist matches the transfer the next morning, writes the voucher and sends a photo of it. In the week before Mother’s Day this happens dozens of times, on top of the bookings, and some buyers give up and buy a voucher elsewhere.

The flow that works

  1. The customer asks about a voucher. AeroChat explains the options: a value voucher or a treatment voucher, with prices from your Sheet.
  2. It collects the recipient’s name, the sender’s name, a short message and how the voucher should be delivered.
  3. It records the order in your Google Sheet and sends a payment link in the chat.
  4. When the payment is confirmed, it marks the order paid, thanks the buyer, tells them when the voucher will arrive, and notifies your team.
  5. Your team issues the voucher and sends it.

The buyer finishes in one sitting, and your team spends a minute issuing each voucher instead of handling the whole exchange.

The recipe

When a customer wants to buy a gift voucher, follow these steps.

  1. Tell them the voucher options from the vouchers in our Google Sheet. Example: value vouchers of US$100, US$150 and US$200, or a treatment voucher for the 90-minute Signature Massage at US$168. Vouchers are valid for 12 months from purchase (example).
  2. Ask which voucher they want and how many.
  3. Ask for the buyer’s name and phone number, the recipient’s name, the sender’s name as it should appear, a short message of up to 150 characters, and whether we should send the voucher to the buyer or straight to the recipient. If straight to the recipient, ask for the recipient’s phone number or email and the date to send it.
  4. Repeat the order back: voucher, quantity, total, names, message and delivery. Ask them to confirm.
  5. When they confirm, record the order in our Google Sheet with the voucher, quantity, buyer’s details, and the recipient, message and delivery details in the notes. Use “Digital voucher” as the delivery address. Then send a payment link for the total.
  6. When the payment is confirmed, mark the order paid with the payment reference. Thank them and tell them the voucher will be sent within 2 working hours during opening hours (example). Notify the team with the order number and tag the conversation “gift-voucher”.
  7. If they ask to change the value or the message after paying, collect the change and pass it to the team.

Only sell vouchers that are in our Sheet, at the listed prices. Do not offer discounts on vouchers. If someone asks whether a voucher they hold is still valid or how much is left on it, ask for the voucher code and hand the conversation to the team.

What to connect

  • Your vouchers in a Google Sheet. AeroChat’s Google Sheets connection is built in. Copy the AeroChat Sheet template, list each voucher as a row with a code, a name and a price, share the Sheet with AeroChat and paste its link into AeroChat. Each voucher order is written to the Orders tab, with its payment status, so your team has one list to issue from. See selling from a Google Sheet.
  • Your voucher terms (validity, whether vouchers can be extended or refunded), uploaded to the knowledge base.
  • Payments. Airwallex is built in: connect your account and AeroChat sends the payment link and confirms the payment. Money settles directly into your Airwallex balance and AeroChat never sees card numbers. If you already take payments with HitPay or Stripe, both connect through their APIs with your API key. Payment links are included from the Growth plan.
  • Your team, notified in AeroChat when an order is paid, so whoever is on shift can issue it.

Using a different system? If it has a public API, it connects to AeroChat the same way: describe what you want, paste in its key, and it runs.

Can’t find your tool? Message us in the chat on this page and we’ll tell you how it connects.

What you still decide

  • Voucher values, treatments and validity.
  • Whether vouchers can be extended, transferred or refunded. These questions always go to a person.
  • How fast you promise to send the voucher, and who issues it.
  • Whether to run a festive voucher offer. If you do, add it to the Sheet with its end date in the name and remove it when it ends.

The result to expect

Voucher sales complete in one conversation, including late at night and at weekends during festive weeks. Payment matching disappears, because the payment is confirmed against the order in your Sheet. Your team’s work drops to issuing the voucher.

The habit is already there. In Meta’s 2025 survey of 11,056 adults in 22 markets, 72.4% said they were more likely to buy from a brand that offers messaging.

Count the result directly: paid voucher orders in your Sheet against the same festive period last year.
