WhatsApp Business Account Banned or Restricted: Causes and Appeals

By Alva Chew 6 min read Updated October 31, 2026

A WhatsApp Business account is usually restricted or banned because Meta found a breach of its policies, or because customers blocked and reported the messages it sent. A banned number can only come back through WhatsApp’s appeal process. The surest way to avoid it is to message only people who asked to hear from you, send what they expect, and keep your template quality high.

Restricted and banned are different

A restriction limits what an account can do. Templates can be paused, and the number of customers you can message first each day can stop growing.

A ban stops the phone number from sending messages on WhatsApp. Customers can no longer reach you on that number until the ban is lifted through an appeal.

Most bans follow warning signs that were visible earlier: templates rated yellow or red, paused templates, or a messaging limit that stays where it is. Watching those signals gives you time to change course.

Why accounts get restricted

Meta looks at two things: what you sell and how you message.

  • What you sell. Meta’s commerce and business policies cover what can be offered on WhatsApp. Meta flags violations by type, for example alcohol or weapons. A business in a restricted category can be flagged even if every message is polite.
  • How you message. Customers can block or report a business. Their feedback sets the quality rating of each template. Messages sent to people who did not opt in, sent too often, or unrelated to what the customer asked for collect blocks and reports quickly.
  • What a template contains. Templates that break the commerce or business policies, or contain abusive content, are rejected at review. Content that slips through and draws complaints is paused later.

Meta’s rules that decide your account’s health

Rule What Meta says
Policy violations Meta flags policy violations by type, for example alcohol or weapons.
Banned numbers A banned number must be unbanned through WhatsApp’s appeal process.
Template quality Each template is rated green, yellow, red or unknown, based on customer feedback. Yellow can lead to the template being paused. A paused template cannot be sent.
Quality and growth Low quality slows the growth of your messaging limit.
Messaging outside the window Outside the 24-hour customer service window, a business can only send approved templates.
Template review reasons Templates are rejected for commerce or business policy breaches, abusive content, malformed variables, excessive length and duplicates.

How to appeal a ban

The appeal goes through WhatsApp’s own process. No provider can lift a ban for you. Before you submit, prepare your case so the reviewer can see the account was used properly.

  1. Find out what was flagged. Check the policy violation shown for your account and the templates that were paused or rated red.
  2. Write down how customers opted in to your messages: the form, the checkbox wording, the date you started collecting consent.
  3. Stop or change whatever caused the problem. Remove the template, change the product listing or stop the campaign before you appeal.
  4. Submit the appeal through WhatsApp’s appeal process and explain plainly what you sell, how customers agreed to hear from you and what you changed.
  5. While the appeal is open, point customers to your other channels, such as Instagram, Messenger or the chat on your website, so enquiries keep coming in.

If the ban was for what you sell, an appeal works only if Meta classified the business wrongly. Changing your messaging does not fix a product that Meta’s policies do not allow.

How to avoid a restriction

  • Collect a clear opt-in before you send any template, and record when and where the customer agreed.
  • Honour every request to stop, however the customer words it.
  • Send marketing templates only to customers who opted in to marketing, and keep the frequency low.
  • Keep templates in the right category. Mixed or unclear content is classed as marketing.
  • Check template quality ratings every week, and rewrite or retire any template that turns yellow.
  • Reply quickly to customers who write to you. Conversations that start with the customer carry less risk than messages you start.

What this means for your business

Your WhatsApp number is often the number your customers already have saved. Losing it means losing a sales and service line that took years to build, and an appeal takes time you do not control.

The safest WhatsApp programme is mostly replies. Customers write first, the business answers inside the 24-hour window, and templates are kept for things customers expect, such as order confirmations and appointment reminders. Marketing goes only to people who asked for it.

Keep a second route open. If your customers can also reach you on Instagram, Messenger and your website, a WhatsApp restriction slows you down instead of stopping you.

How AeroChat handles it

AeroChat answers customers who write to you on WhatsApp, inside the 24-hour window, so most of your WhatsApp traffic is replies to people who asked. Outbound messages outside that window go only as approved templates to customers who opted in. WhatsApp broadcasts to opted-in customers are on Growth and above.

The opt-in and opt-out workflow collects consent in the chat and records it with its date and source in Klaviyo or Mailchimp, and recognises a stop request in any language. Broadcasts to opted-in customers go only to that list.

The same workflows run on Instagram, Messenger, TikTok, Telegram, email and the chat on your website, with the same connections behind them, so customers have another route if your WhatsApp number is ever restricted. Human handover passes complaints to your team before they turn into reports.

Questions

Why was my WhatsApp Business account banned?

Usually for one of two reasons: Meta found that what you sell breaks its commerce or business policies, or customers blocked and reported your messages. Check the violation type shown for your account and the quality rating of your templates.

How long does a WhatsApp ban last?

A banned number stays banned until it is unbanned through WhatsApp’s appeal process. Plan for the number to be unavailable until the decision comes back, and send customers to your other channels in the meantime.

Can I move to a new number after a ban?

You can register another number, but if the cause is still there, the new number will run into the same problem. Fix what was flagged first. Business verification also matters here: a verified business can register up to 20 phone numbers, against 2 for an unverified one.

Does using an AI chatbot get a WhatsApp account banned?

Meta judges what you send and to whom, through its policies and customer feedback. Replies to customers who wrote to you, inside the 24-hour window, are the lowest-risk messages on the platform.
