WhatsApp Business Multiple Users: Linked Devices vs a Team Inbox

By Alva Chew 5 min read Updated October 31, 2026

The WhatsApp Business app lets a few people use one number by linking extra devices to the main phone, but everyone sees the same chats with no assignment or ownership. For a real team, connect the number to the WhatsApp Business Platform (the API) and answer from a shared team inbox, where each conversation is assigned to one person and any number of seats can work at once. With coexistence you can do both on the same number.

How multiple users work in the WhatsApp Business app

The app runs on one main phone. Other people can use the same number by linking companion devices, such as a computer or a second phone, to that main account.

Every linked device sees every chat. There is no way to give a conversation to one person, see who is handling it, or stop two people replying to the same customer. There is also no record of who sent which reply.

This works for a business with one or two people on WhatsApp. It breaks down when several people answer customers, or when messages come in faster than one person can read them.

How a shared team inbox works on the API

On the API, the number is not tied to one phone. Messages arrive in software built on the WhatsApp Business Platform, and your team answers from there.

  • Each team member signs in with their own seat.
  • Each conversation is assigned to one person or team, and everyone can see who has it.
  • The full history stays with the conversation, so anyone picking it up sees what was already said.
  • Automation can answer routine questions and hand the rest to a person.

The trade-off is cost. Replies sent through the API are charged by Meta per message, while the app has no per-message fees.

Keep the app and add a team inbox: coexistence

You do not have to give up the app to get a team inbox. Coexistence lets a business keep its WhatsApp Business app number and also use the Cloud API through a provider. Chats stay in sync between the app and the API.

Rule What Meta says
Chat sync Chats stay in sync between the app and the API.
History With the business’s consent, chat history and contacts sync within 24 hours of onboarding. Group chats do not.
Linked devices Up to 4 companion devices can stay linked.

What this means for your business

If one person answers WhatsApp, the app is enough. Once two or more people share the work, the lack of assignment starts to cost you: chats get missed, customers get two answers, and nobody knows who promised what.

Coexistence removes the hard choice. The owner can keep answering from the phone they know, while the team works from a shared inbox on the same number and automation handles the routine questions.

Plan for the cost. Replies through the API are free up to 1,000 a month per number and then charged per message. A small business usually stays inside that, and a busy one pays per reply. Rates vary by country and are set in Meta’s rate cards.

How AeroChat handles it

AeroChat connects your WhatsApp number through embedded signup and supports coexistence, so you can keep using the WhatsApp Business app on your phone while the same number runs on the API through AeroChat.

Your team shares one inbox. Each conversation is assigned to one person and anyone can see its history. Human handover routes chats to the right person, for example the contact owner in HubSpot or the deal owner in Pipedrive. Your team can take over a conversation from the desktop inbox or the mobile app.

AeroChat answers routine questions itself, with customer service from your own records, so your team spends its time on the conversations that need a person. Starter includes 3 seats, Growth 10 and Advanced 25. AeroChat passes Meta’s WhatsApp fees through at cost.

Questions

How many people can use one WhatsApp Business number?

In the app, the main phone plus its linked companion devices. With coexistence, Meta says up to 4 companion devices can stay linked. On the API with a team inbox, the number of people depends on the seats in your inbox software.

Can two people reply to the same WhatsApp chat?

In the app, yes, and that is the problem: nothing stops two people answering the same customer. A team inbox assigns each conversation to one person, so the customer gets one consistent answer.

Do I lose my chat history if I move to the API?

With coexistence, chat history and contacts sync within 24 hours of onboarding, with your consent. Group chats do not sync.

How many seats does AeroChat include?

Workflows via Skills are on every plan, Free included. Starter gives 500 AI responses and 3 seats. Growth gives 2,000 AI responses and 10 seats, and adds payment links and broadcasts. Advanced gives 5,000 AI responses and 25 seats.
