WhatsApp Quote Requests Turned Into Draft Quotes

By Alva Chew 5 min read Updated October 30, 2026

Quote requests on WhatsApp usually start with “how much for…?”. AeroChat collects the details the price depends on, prices standard items from your price list, and creates a draft quote or estimate in Xero, QuickBooks Online, Zoho Books, Jobber or ServiceM8 for your team to check and send.

What happens today

The customer sends “how much for 3 units?”. Someone replies with five questions, the customer answers two, and the quote gets typed into the accounting tool that evening.

Quotes go out days later with details missing. By then the customer has asked two other companies, and the one who replied first with a clear price often gets the job.

How it runs on WhatsApp

  1. The customer asks for a price. AeroChat gives standard prices from your price list straight away.
  2. For a quote, it asks the questions the price depends on, such as items, quantity, size, address and date.
  3. It looks up the customer in your accounting or job system by email or phone number, and creates them if they are new.
  4. It creates a draft quote or estimate with a line for each item from your price list.
  5. It tells the customer when to expect the quote and hands the conversation to your team with the quote number. Your team checks it and sends it.
  6. When the customer later asks about the quote, AeroChat reads its status and expiry date and replies.
  7. Site visits, custom work and discount requests go to your team.

The recipe

When a customer asks for a price or a quote, follow these steps.

  1. If they ask about a standard item, give the price from our price list in the knowledge base.
  2. For a quote, ask what they need, the quantity, the delivery address and the date they need it by (example).
  3. Search Xero for a contact with their email, then their phone number. If there is none, ask for their company name and email and create the contact.
  4. Create a draft quote in Xero with a line for each item, using the item codes and prices from our price list, and a S$40 delivery fee for orders under S$500 (example).
  5. Tell the customer the quote will come by email within one working day (example), and hand the conversation to our sales team with the quote number.
  6. If they ask about a quote they already have, find it in Xero and tell them its status and expiry date.

Never send a quote yourself and never change a price. If an item is not on the price list, hand the conversation to our team. Reply in the customer’s language.

Change the questions, the delivery fee and the turnaround to your own. On QuickBooks Online or Zoho Books, say “estimate” instead of “quote”. On Jobber or ServiceM8, create a request or job for the quote.

Connect the systems behind it

  • Xero. AeroChat finds or creates the contact and creates a draft quote from your price list.
  • QuickBooks Online. AeroChat creates the customer and an estimate for your team to check and send.
  • Zoho Books. AeroChat finds the customer and drafts the estimate, and reads its status when the customer asks.
  • Jobber. AeroChat turns the chat into a Jobber request, and answers questions about the quote from the quote itself.
  • ServiceM8. AeroChat creates the job with the details the quote needs, so your team can price it.

Using a different system? If it has a public API, it connects to AeroChat the same way: describe what you want, paste in its key, and it runs.

What it costs on WhatsApp

A quote request is a conversation the customer starts, so their messages are free. AeroChat’s replies inside the 24-hour customer service window are service messages: free up to 1,000 a month per business phone number, then charged per message. If you message the customer about the quote days later, after the window has closed, that message must be an approved template, charged per message. Collecting every detail in the first conversation avoids extra back and forth, which now costs money. Rates vary by country and are set in Meta’s rate cards. AeroChat passes Meta’s WhatsApp fees through at cost.

Also on Instagram, Messenger, TikTok and web chat

The same quote workflow runs on Instagram, Facebook Messenger, TikTok (direct messages and TikTok Shop buyer chat), Telegram, web chat and email. Every quote request lands as a draft in the same system, whichever channel it came from.

Who uses it

  • Aircon and home services: service and installation quotes with the unit, address and date collected in the chat.
  • B2B suppliers: volume quotes drafted from the price list for the sales team to approve.

Questions

Can AeroChat send quotes on WhatsApp automatically?

It gives standard prices from your price list straight away. For a full quote, it creates a draft in your accounting or job system, and your team checks and sends it. You decide if any quotes can go out without a check.

Which accounting and job systems does it work with?

Xero, QuickBooks Online, Zoho Books, Jobber and ServiceM8 have their own integration pages. Any other system with a public API connects the same way.

Can customers check where their quote is?

Yes. AeroChat finds the quote in your system and replies with its status and expiry date.

What does WhatsApp charge for quote conversations?

The customer’s messages are free. Your replies within 24 hours of their last message are free up to 1,000 a month per business phone number, then charged per message. Messages after that window are approved templates, charged per message.
