How the connection works

AeroChat connects through Xero’s public Accounting API. It reads contacts, invoices, payments and items, and it can create contacts, quotes and draft invoices. Each workflow uses only what its recipe asks for.

To connect, approve AeroChat’s access to your Xero organisation when AeroChat asks. Xero shows its own sign-in screen, where you pick the organisation and allow access. There is no key to copy. You can remove the connection at any time from the connected apps list in Xero.

You describe the workflow in plain English. AeroChat builds it as a draft, works out which Xero calls it needs, and asks you to connect. Keys and credentials are entered in the AeroChat dashboard and never pass through the conversation.

When a customer asks for a copy of an invoice or what they owe, match their phone number or email to a contact in Xero. If there is no match, ask for their company name and the email on their account, and only continue if it matches. Find their unpaid invoices and reply with each invoice number, due date and amount due, plus the link to view and pay it. If they ask for an older invoice, find it by number or month. Never share invoices with someone who does not match the contact. If they dispute an amount, hand the conversation to our accounts team.

When a customer says they have paid, ask for the invoice number or the amount and date. Check the invoice in Xero. If it shows as paid, thank them and confirm. If it is still open, tell them payments can take a day or two to show and that our accounts team will check. Hand the conversation to the accounts team with the details. Never mark an invoice as paid.

What stays in Xero

Xero stays your record. Invoices, quotes, contacts and payments live there, and your team still approves quotes, sends statements, reconciles payments and chases overdue accounts.
