How the connection works
AeroChat connects through the public Zoho Books API. It reads contacts, invoices, payments, items and estimates, and it can create contacts and estimates, add comments to invoices and fetch an invoice as a PDF. Each workflow uses only what its recipe asks for.
To connect, approve AeroChat’s access to your Zoho Books organisation when AeroChat asks. Zoho shows its own sign-in screen, where you choose the organisation and allow the access the workflow needs. There is no key to copy, and you can remove the access at any time from your Zoho account.
You describe the workflow in your own words. AeroChat builds it as a draft, works out which Zoho Books calls it needs, and asks you to connect. Keys and credentials are entered in the AeroChat dashboard and never pass through the conversation.

When a customer asks for an invoice copy or their balance, match their phone number or email to a contact in Zoho Books. If there is no match, ask for their company name and the email on their account, and only continue if it matches. Reply with each unpaid invoice number, due date and balance, and send the invoice PDF in the chat. If they say when they will pay, add a comment to the invoice with the date they gave. If they dispute an amount, hand the conversation to our accounts team. Never change an invoice.

When someone asks for a quote, ask which products and how many. Find each one in our Zoho Books items and reply with the price. Find the customer in Zoho Books by email or phone, or create a new contact with their name, company, email and phone. Create a draft estimate for that contact with the items and quantities. Tell them our sales team will check it and send the estimate within one working day (example).
