Aircon Servicing Price Quotes on WhatsApp From Your Price List

By Alva Chew 5 min read Updated October 25, 2026

This recipe answers “how much to service my aircon” on WhatsApp or web chat with a real price. It collects the number of units, the type and the service, quotes from your price list, shows the total and moves into booking. It works the same way for plumbing, cleaning and pest control, with the facts each trade needs. Part of the aircon and home service workflows.

What happens today

“How much to service aircon?” has no answer until you know more. The office asks how many units. The customer says four. The office asks what type. The customer sends a photo. The office asks general service or chemical wash. The customer asks what the difference is. Four exchanges later there is a price, and the person typing it should have been on a job.

Then the technician arrives, sees a cassette unit that was described as wall-mounted, and the price changes on site. That is how home service companies lose reviews.

The flow that works

  1. The customer asks for a price. AeroChat asks how many units, wall-mounted or ceiling cassette, and which service.
  2. If they are not sure which service they need, it explains the difference from your notes and suggests one based on what they describe.
  3. It quotes each line from your price list, applies your minimum charge and any multi-unit price you list, and shows the total.
  4. It says plainly that the technician confirms on site if the units are different from what was described, and what extra work, such as a gas top-up, would cost.
  5. It offers to book (see service booking).

Every price comes from your list. Work that is not on the list, such as a major repair, goes to a person for a quote.

When a customer asks for a price, follow these steps.

  1. For aircon, ask how many units, whether each one is wall-mounted or ceiling cassette, and whether they want a general service, chemical wash, chemical overhaul or a repair. If they send a photo, use it to tell the type.
  2. If they are not sure which service they need, explain the difference from our service notes in the knowledge base. Example: general service for units cleaned in the last six months, chemical wash if the unit is not cold or smells (example guidance).
  3. Quote from our price list. Example prices: general service US$40 per wall-mounted unit, chemical wash US$100 per wall-mounted unit, US$40 extra per cassette unit, minimum 2 units per visit (example prices, use ours). Show each line and the total.
  4. Tell them that if the units on site are different from what was described, the technician will confirm the price before starting. If they ask about gas top-ups or parts, give the price from our list and say the technician will check whether it is needed.
  5. Ask whether they would like to book, and if yes, follow the booking steps.
  6. For plumbing, cleaning, pest control or electrical work, collect the details listed for that trade in our price list notes, then quote if the job is on the list.

Never quote a price that is not on our price list and never give a discount that is not on it. For repairs that are not on the list, say a technician will give the price after checking, and hand the conversation to our office. Reply in the customer’s language.

What to connect

  • Your price list. Upload it to the AeroChat knowledge base, with every service, unit type, multi-unit price, minimum charge, add-ons and any promotions with their end dates.
  • Your service notes. A short explanation of each service and when a customer needs it, in your words.
  • Your field service software. The same connection as the service booking recipe, so a quote moves straight into a booking. ServiceM8, Jobber or Housecall Pro connect through their APIs. If you run a small team from Google Calendar instead, connect your Google account and approve the access.
  • Channels. WhatsApp and web chat. Search ads that open WhatsApp land in the same inbox.

Using a different system? If it has a public API, it connects to AeroChat the same way: describe what you want, paste in its key, and it runs.

Can’t find your tool? Message us in the chat on this page and we’ll tell you how it connects.

What you still decide

  • Your prices, minimum charge and multi-unit pricing.
  • Which promotions are running, and when they end.
  • Which jobs are quoted in chat and which need a technician to check first.
  • How on-site price changes are explained to the customer.

AeroChat quotes only what is on your list, applied the same way every time.

The result to expect

Customers get a full price in one short exchange, at any hour, and book while they are still on their phone. The price in the chat matches what the technician charges, because both come from the same list. Your office stops typing the same four questions.

Measure it with your own numbers: the share of price enquiries that become bookings, and the number of on-site price disputes, for a month before and after you start.

Next: service booking and warranty and repeat issues.

Let it quote while you are on a job

Upload your price list, paste the recipe, and ask for three wall-mounted units on a chemical wash. If the total matches what you would have said, it is ready.
