Hair and Beauty Salon Workflows to Automate, Ranked
These are the six client conversations a hair or beauty salon should automate first, ranked by how much chair time or front desk time each one recovers. The ranking assumes a single salon with three to eight stylists, enquiries on WhatsApp and Instagram, and bookings, clients and packages kept in salon booking software. Each one links to a recipe page with a description you can paste into AeroChat, what to connect and what you still decide.
For the message types, channels and plan sizing, see the hair and beauty salons overview.
The ranking at a glance
| Rank | Workflow | What it recovers | Why it ranks here |
|---|---|---|---|
| 1 | Booking with a stylist | Bookings that arrive while every stylist is with a client, or after closing | It is where the money is, and the other workflows reuse its connection |
| 2 | Reschedule and cancel | Chair time on long services, freed early enough to refill | A three-hour colour slot lost to a silent no-show is most of a stylist’s afternoon |
| 3 | Price and service questions | Enquiries from Instagram that leave without an answer | “Price?” on a balayage post is a lead that cools in minutes |
| 4 | Package balances | Front desk time on an identical lookup, and client trust | Prepaid packages are a common cause of client complaints, so an exact answer matters |
| 5 | Rebooking after a visit | Repeat visits at the right interval | Replies to a follow-up message turn into the next booking |
| 6 | Colour consultation handover | Stylist time on photo enquiries, and complaints handled by a person | Lower volume, but every setup needs it before going live |
The six workflows
1. Book with the client’s stylist
A client writes at 11pm: “any slot sat afternoon with Mei? want cut and roots”. AeroChat works out the services and the total time, checks Mei’s availability in your salon software, offers three times and creates the booking. Long services such as colour and treatments can take a deposit by payment link. This ranks first because clients book a person, and that person is usually busy with someone else when the message arrives.
2. Reschedule or cancel by reply
“Sorry need to change tmr appt” arrives most days. AeroChat checks the client is messaging from the number on the booking, offers new times with the same stylist, applies your cancellation policy and tells the team when a slot frees up at short notice.
3. Answer price and service questions
A trim or a blow-dry has a fixed price. Balayage, colour correction and rebonding depend on the hair. AeroChat quotes fixed prices outright, gives a starting price and what changes it for the rest, and offers to book. This includes replies to “price?” comments on your Instagram and Facebook posts.

4. Answer package balances
“How many washes left on my package” is the same lookup every time. AeroChat checks that the person asking is the account holder, reads the balance and expiry from the client’s record in your salon software and replies. Disputes go to your manager.
5. Rebook after a visit
You send a follow-up a few weeks after a cut or a colour, from your salon software, by WhatsApp broadcast or from the team. When the client replies, AeroChat offers times with the same stylist at the interval you recommend, and answers aftercare questions from your notes.

6. Hand colour photos and complaints to a stylist
“Can you do this colour?” with a screenshot needs a stylist’s eye. So does “my perm went wrong”. AeroChat collects the hair length, current colour and previous treatments, passes the photo to the stylist and offers a consultation slot. Complaints and reactions go to a person at once. Set this up before any other workflow goes live.

What they connect to
- Your salon booking software, for each stylist’s availability, bookings, client history and package balances, used by every workflow. Phorest, Zenoti and Square Appointments connect through their APIs.
- Airwallex, built in, for deposit links on long services. HitPay and Stripe connect through their APIs if you already use them.
- Your knowledge base for the service menu, prices, stylist list, policies and aftercare notes.
- Instagram and Facebook comment replies, for price questions on your posts.
- AeroChat’s own handover, tags and team notifications for workflow 6 and every exception.
If you run a small salon from Google Calendar, with one calendar per stylist, connect your Google account and approve the access. The recipes work the same way.
Using a different system? If it has a public API, it connects to AeroChat the same way: describe what you want, paste in its key, and it runs.
Can’t find your tool? Message us in the chat on this page and we’ll tell you how it connects.
What stays with your team
- Whether a look in a photo can be done on the client’s hair, and the final price for colour work.
- Complaints about a service or a stylist, and any reaction to a product.
- Exceptions to your cancellation or deposit policy, and refunds.
- Package disputes, extensions and transfers.
- Any discount that is not on your price list.
Each recipe hands these over with the details collected, so your stylist picks up the conversation without asking the client to repeat themselves.
How they fit together
Booking is the base. Rescheduling, price questions and rebooking all end in a booking or change one, so they reuse its connection to your salon software. The colour consultation handover runs alongside all of them. When a client sends a photo in the middle of a booking, the booking turns into a consultation request for the stylist.
You can paste the recipes one at a time. When you paste the second, AeroChat sees what you already have and adds to it rather than building a duplicate.
