Aircon and Home Service Workflows to Automate, Ranked
These are the six workflows an aircon servicing, plumbing, cleaning or pest control business should automate first, ranked by how much time or revenue each one recovers. The ranking assumes three to fifteen technicians, most enquiries on WhatsApp, and jobs, customers and maintenance contracts kept in field service software such as ServiceM8, Jobber or Housecall Pro. Each one links to a recipe page with a description you can paste into AeroChat, what to connect and what you still decide.
For the market data and plan sizing, see the aircon and home services overview.
The ranking at a glance
| Rank | Workflow | What it recovers | Why it ranks here |
|---|---|---|---|
| 1 | Service booking | Jobs lost while technicians are on site | It is where the money is, and the other workflows reuse its connection to your job schedule |
| 2 | Price quotes | Office time on four-message quotes | “How much to service my aircon” is the most common first message |
| 3 | Technician arrival updates | Dispatcher time on “what time is the technician coming” | High volume on every job day |
| 4 | Warranty and repeat issues | Reviews and repeat customers | A clear answer on a return visit keeps the customer |
| 5 | Maintenance contract renewals | Recurring revenue | Units need servicing several times a year, so every renewed contract brings repeat visits |
| 6 | Urgent breakdown handover | Low volume, high stakes | Every setup needs it before going live |
The six workflows
1. Book a service by area and time window
A customer wants three units serviced on Saturday morning. AeroChat takes the postal code first, checks the schedule in your field service software for slots in that area, offers three time windows and creates the job for the one they pick. This ranks first because a job not booked tonight is booked with someone else tomorrow.
2. Quote from the customer’s own job details
A price needs the number of units, the type and the service. AeroChat asks for each, quotes from your price list, shows the total and moves into booking. It never quotes a price that is not on your list.
3. Answer “what time is the technician coming”
On a job day this message comes in from every customer. AeroChat checks the job, gives the time window and any status the technician has set, and if the window has started without news, tells dispatch so a person can call the technician.

4. Handle warranty claims and repeat faults
“Just serviced last week, now leaking again” needs a fast, fair answer. AeroChat checks the last job in the customer’s history against your service warranty, books a return visit when it is covered and quotes the normal price when it is not.

5. Renew maintenance contracts
Quarterly and half-yearly contracts are your steadiest income. When a renewal broadcast goes out, or a customer asks when their contract ends, AeroChat reads the contract from your field service software, offers the renewal price, sends a payment link and books the first visit.

6. Get urgent breakdowns to a person
Water through the ceiling, a burning smell, sparks, gas, or no cooling in a home with a baby or an elderly person cannot wait in a queue. AeroChat stops, tells the customer what to do right now, and alerts your on-call person. It ranks last because the volume is low. Set it up before any other workflow goes live.

What they connect to
- Your field service software for the job schedule, customer history and maintenance contracts, used by workflows 1, 3, 4 and 5. ServiceM8, Jobber and Housecall Pro connect through their APIs.
- Google Calendar and a Google Sheet instead, if you run a small team from a shared calendar and a customer Sheet. Connect your Google account and approve the access.
- Airwallex, built in, for deposits and contract payments. HitPay and Stripe connect through their APIs if you already use them.
- Your knowledge base for your price list, service areas, warranty terms and emergency number.
- AeroChat’s own handover, tags and team notifications for workflow 6 and every exception.
Using a different system? If it has a public API, it connects to AeroChat the same way: describe what you want, paste in its key, and it runs.

What stays with your team
- Any emergency: leaks, burning smells, sparks, gas and anyone at risk from heat.
- Prices for work that is not on your price list, such as gas top-ups found on site or major repairs.
- Complaints about a technician or a job.
- Disputed warranty claims and refunds.
- Discounts that are not on your list.
Each recipe hands these over with the details collected, so your team picks up the conversation without asking the customer to repeat themselves.
How they fit together
Booking is the base. Quotes end in a booking, warranty claims book a return visit, and contract renewals book the first visit of the new term, so they all reuse its connection to your job schedule. The urgent breakdown handover runs alongside all of them. When a customer mentions water dripping onto a power point in the middle of a quote, the quote stops and a person takes over.
You can paste the recipes one at a time. When you paste the second, AeroChat sees what you already have and adds to it rather than building a duplicate.
