Connect Wave to WhatsApp, Instagram, TikTok and AI Chat

By Alva Chew 5 min read Updated October 30, 2026

Customers message you on WhatsApp, Instagram, Messenger, TikTok, Telegram, web chat or email to ask about an invoice or request a price, but your customers, invoices and estimates live in Wave. AeroChat answers those conversations and works from Wave as it goes: it finds the invoice, reads what is due, shares the invoice link, creates the customer and drafts the estimate. It connects through Wave’s public API. You describe the workflow in your own words, and AeroChat builds it.

What you can do with Wave and AeroChat

  • Answer invoice questions in chat. AeroChat checks who is asking, finds their invoices in Wave and replies with the status, amount due and the link to view the invoice.
  • Turn enquiries into Wave estimates. AeroChat asks your scoping questions and creates an estimate in Wave for you to review and send.
  • Add new customers. When a new enquiry gives their details in chat, AeroChat creates the customer in Wave.
  • Keep customer details current. AeroChat updates a customer’s email, phone or address in Wave when they tell you it has changed.
  • Answer price questions from your Wave products and services, so the chat and your invoices use the same prices.

Works on every chat channel

Your customers message you wherever they already are. The same Wave connection and the same workflows run on every channel AeroChat supports, and Wave stays the record whichever one they use.

Channel What your customers can do
WhatsApp Message your WhatsApp Business number to check an invoice, ask what they owe, get their invoice link or request an estimate. Voice notes are transcribed, so a spoken request works too.
Instagram Send the same requests by direct message. A comment on your post can get an automatic reply that moves the conversation to a DM.
Facebook Messenger Send the same requests to your Facebook Page. Comments on your Page posts can get an automatic reply too.
TikTok Send the same requests by TikTok direct message or TikTok Shop buyer chat. Both arrive in the same TikTok inbox.
Telegram Send the same requests to your business on Telegram.
Web chat Do the same from the chat on your website, without leaving the page.
Email Write to your Gmail or Office 365 address and get the same answer the chat gives.

How the connection works

AeroChat connects through Wave’s public API. It reads customers, invoices, estimates, and products and services. It creates and updates customers and creates estimates. Each workflow uses only what its recipe asks for.

To connect, approve AeroChat’s access to your Wave business when AeroChat asks. Wave shows its own sign-in screen, where you allow access. Wave lets a business connect outside apps on its Pro plan, so check yours before you start. There is no key to copy.

You describe the workflow in your own words. AeroChat builds it as a draft, works out which Wave calls it needs, and asks you to connect. Keys and credentials are entered in the AeroChat dashboard and never pass through the conversation.

Workflows to copy

When a customer asks about an invoice or what they owe, match their email or phone number to a customer in Wave. If there is no match, ask for their name and the email we invoice, and only continue if it matches. Reply with each unpaid invoice number, date, due date and amount due, and whether it is overdue, with the link to view the invoice. If they dispute an amount, hand the conversation to me. Never change an invoice.

When someone asks for a price on a job, ask what they need, the address and when. Find the matching products or services in Wave and reply with our standard prices. Find the customer in Wave by email, or create a new customer with their name, email, phone and address. Create an estimate for that customer with the items and a note of what they asked for. Tell them I will review and send the estimate within one working day (example).

Who uses it

Freelancers, trades and small service businesses that invoice from Wave use it for invoice questions and new job enquiries. These recipes cover the same work:

What stays in Wave

Wave stays your record. Customers, invoices, estimates, payments, banking and reports live there, and you still send estimates, issue invoices and record payments.

AeroChat handles the conversation. It creates and updates the customers and estimates your recipe asks for and leaves the rest to Wave and you.
