Answer Wave Invoice Questions on WhatsApp

By Alva Chew 4 min read Updated October 30, 2026

This recipe answers invoice questions in chat from Wave. It checks the person asking is your customer, replies with the status, amount due and invoice link, and updates the customer’s details when they change. Part of connecting Wave to WhatsApp and AI chat.

What happens today

A customer messages on WhatsApp to say they can’t find last month’s invoice and asks how much is left to pay. You are on a job, so you reply that evening after logging in to Wave and finding the link. Their email has changed too, so the next invoice goes to an inbox nobody reads.

The flow that works

  1. The customer asks about an invoice or what they owe.
  2. AeroChat matches the email or phone number to a Wave customer, or asks for their name and billing email.
  3. It finds their invoices and replies with status, due dates, amounts due and the link to view each invoice.
  4. It updates the customer’s email or phone in Wave when they give a new one.
  5. Disputes and requests for more time go to you.

The recipe

When a customer asks about an invoice, a payment or what they owe, follow these steps.

  1. Match their email or phone number to a customer in Wave. If there is no match, ask for their name and the email we invoice. Only continue if both match.
  2. Find the invoice they asked about by number, month or amount, or find all their invoices with an amount due.
  3. Reply with each invoice number, date, due date, status and amount due, and the total. Include the link to view each invoice so they can see it and pay it.
  4. If they say their email or phone number has changed, update the customer in Wave with the new details and confirm the change.
  5. If they dispute an amount or ask for more time, collect the invoice number and the reason, and hand the conversation to me.

Never share invoices with someone who does not match the customer. Never change an invoice or record a payment. Reply in the customer’s language.

Change the matching rule and the handover cases to your own before you paste it.

What to connect

  • Wave. Approve AeroChat’s access to your Wave business when AeroChat asks. It reads customers and invoices and updates customer contact details. Wave lets a business connect outside apps on its Pro plan. There is no key to copy.
  • Customer contact details. Keep an email and phone number on each customer in Wave, because that is how AeroChat matches the person asking.

After you paste the recipe, AeroChat builds the workflow as a draft and shows a checklist: connect Wave, add your knowledge base if the recipe uses one, then switch it on. If it built the connection from Wave’s public documentation, the checklist asks you to check it once against the current docs.

Using a different system? If it has a public API, it connects to AeroChat the same way: describe what you want, paste in its key, and it runs.

What you still decide

  • How a customer proves who they are.
  • Which customer details AeroChat can update.
  • Which questions always come to you.

The result to expect

Customers get their invoice and what they owe while you are working, with a link to pay. Their details in Wave stay current, and you stop digging out invoice links in the evening.

Measure it with your own numbers: invoice questions answered without you, and days to payment, for a month before and after.

Next: turn enquiries into Wave estimates.

Works on every chat channel

This workflow runs the same way on WhatsApp, Instagram, Facebook Messenger, TikTok, Telegram, the chat on your website and email, with the same Wave connection behind it. See what each channel does on the Wave integration page.
