Sell From a Google Sheet on WhatsApp
This recipe sells from a product list in a Google Sheet. The customer asks, chooses and orders in the chat, and AeroChat writes the order to your Sheet. It uses the Google Sheets store, which is built into AeroChat, so you need no store and no store subscription. Part of the Google Sheets integration.
What happens today
You post a product on Instagram. Twenty people message “price?” and “still have size M?”. You reply to each one, check your notes for stock, send bank details, wait for a screenshot and copy the order into a Sheet by hand. Messages that arrive while you are packing go unanswered, and some of those buyers move on.
The flow that works
- The customer asks about a product. AeroChat answers from your Products tab: price, options, stock and photos.
- It helps them choose and confirms the item, option and quantity.
- It collects their name, phone number and delivery address.
- It writes the order to your Orders tab and sends a payment link in the chat.
- When the payment is confirmed, it updates the order’s payment status and confirms the order with the customer.
- When the customer later asks “where’s my order?”, AeroChat reads the delivery status and tracking reference your team typed into the Sheet.
The recipe

When a customer asks about a product or wants to buy, follow these steps.
- Answer questions about price, options, stock and photos from our Google Sheets store. Only offer products that are in stock.
- Help them choose. Confirm the product, the option such as size or colour, and the quantity.
- Ask for their full name, phone number and delivery address. Tell them the delivery fee from our delivery policy, for example US$5 for orders under US$50 and free above that (example).
- Create the order in our Google Sheets store with the items, amount, delivery fee and their details.
- Send a payment link for the total. Tell them the order is confirmed once payment is received.
- When the payment is confirmed, mark the order as paid and confirm the order with the items, total and expected delivery time, for example 3 to 5 working days.
If a customer asks about an order they have already placed, look it up by the phone number they are messaging from and tell them the payment status, delivery status and tracking reference. Never give a discount. If they ask for a refund, an exchange or anything not in our policies, hand the conversation to a team member. Reply in the customer’s language.
Change the delivery fees and delivery times to your own before you paste it.
What to connect
- The Google Sheets store. In AeroChat, go to Connect, then Google Sheets. Copy the store template into your Google Drive, share your copy with AeroChat as an editor, paste the connection code into the Settings tab, and paste the Sheet’s link into AeroChat.
- Your products. Fill in the Products tab. Only the product code, title and price are required. Stock, options, descriptions and image links are optional. If you already have a Meta or TikTok Shop catalogue export, its columns paste straight in.
- Your policies. Upload your delivery fees, delivery times, returns and refund policy to the AeroChat knowledge base.
- Payments. Airwallex is built in: AeroChat sends the payment link and confirms the payment, and the money settles into your Airwallex balance. If you already take payments with Stripe or HitPay, both connect through their APIs with your API key. Payment links are included from the Growth plan.
Using a different system? If it has a public API, it connects to AeroChat the same way: describe what you want, paste in its key, and it runs.

What you still decide
- Your products, prices and stock, kept up to date in the Sheet.
- Delivery fees, delivery times and where you deliver.
- Your returns, exchange and refund policy.
- When an order goes to a person, for example large orders or custom requests.
AeroChat only quotes the prices in your Sheet. It does not hand out discounts or promise delivery dates you have not set.
The result to expect
Price and stock questions get answered while you are packing or asleep, and each answer can end in an order. Orders arrive in your Sheet already written up, so you stop copying them across from chats.
The Sheet is a starting point, not an order management system. When your order volume outgrows it, move to Shopify, which AeroChat also connects to.
Measure it with your own numbers: orders taken in chat per week, and how many came in outside the hours you reply yourself.
