Connect Google Sheets to WhatsApp and AI Chat
A lot of business runs on a Google Sheet: the product list, the package balances, the stock count, the list of leads. AeroChat connects to those Sheets so the answers your team looks up by hand can come straight from the Sheet, inside the WhatsApp, Instagram or Messenger chat the customer started.
There are two ways to use them. The Google Sheets store is built in: you sell from a product Sheet and AeroChat writes each order back to it. Any other Sheet you keep connects through Google’s API, for lookups and for adding rows.
What you can do with Google Sheets and AeroChat
- Sell from a product Sheet in chat. Customers ask, choose and order in the chat, and each order is written to your Orders tab.
- Answer “how many left?” from your records. Package balances, stock, order status or fees, read from the row that belongs to that customer.
- Log every chat lead to a Sheet. Name, need, budget and contact details land in a new row for your team to follow up.
- Record bookings and payments. Add a row each time a booking is made or a deposit is paid, so your team has one list to check.
- Answer price and schedule questions. Keep class times, fees or price lists in a Sheet and update them there. The answers change when the Sheet does.
How the connection works
The Google Sheets store (built in). You copy the AeroChat store template into your own Google Drive. It has three tabs: Products, Orders and Settings. You share your copy with AeroChat as an editor, paste the connection code AeroChat gives you into the Settings tab, and paste the Sheet’s link into AeroChat. From then on, AeroChat reads your products and prices from the Products tab and writes each order into the Orders tab. Columns are matched by their header names, so you can reorder them or add your own.
Any other Sheet (through Google’s API). AeroChat connects through the Google Sheets public API. With your permission, it reads the rows it needs from the Sheets you choose, adds new rows and updates cells. You describe what you want in plain English, for example “when a customer asks about their package, find their row by phone number”. AeroChat builds the workflow and asks you to connect your Google account. You approve the access on Google’s own screen.
Any credentials are entered in the AeroChat dashboard and never pass through the conversation. Google documents what the API can do in its Google Sheets API guide.
Workflows to copy
Copy this into AeroChat
When a customer asks how many sessions they have left on their package, find their row in our Packages Sheet using the phone number they are messaging from. If there is no match, do not share any details and hand the conversation to a team member. If there is a match, tell them the package name, sessions used, sessions left and the expiry date. If they have two sessions or fewer left, tell them they can renew in this chat.

When someone asks about our services and is a likely customer, ask their name, what they need, when they need it and their budget. Add a row to our Leads Sheet with the date, channel, name, phone number, what they need, timing and budget. Tell them a team member will follow up within one working day (example).
Change the Sheet names, columns and timings to your own before you paste them.
Who uses it
These industry recipes read from or write to a Google Sheet:
- Spa package and membership balances
- Spa gift vouchers sold in chat
- Salon package balances
- Tuition schedule and fee questions
- Trade orders and repeat orders
- Property lead qualification
- Catering order status and delivery
What stays in Google Sheets
Your Sheet stays the record. You change prices, stock and balances in the Sheet the way you do now, and AeroChat answers from the latest version. In the store, your team can type into the payment status, delivery status, tracking and notes columns, and AeroChat reads those back when a customer asks about an order. It never overwrites a cell it did not change itself.
The Google Sheets store suits sellers starting out with no store subscription. It is not an order management system. When order volume outgrows a Sheet, AeroChat also connects to Shopify, which is built in.
Questions
Does AeroChat work with Google Sheets?
Yes, in two ways. The Google Sheets store is built in for selling from a product Sheet. Any other Sheet connects through the Google Sheets API when you connect your Google account and approve the access.
Can customers order through WhatsApp from my Sheet?
Yes. With the Google Sheets store, customers ask about products, choose and order in WhatsApp, Instagram or Messenger, and AeroChat writes the order to your Orders tab. Add a payment link and the customer can pay in the same chat.
Do I need a developer?
No. For the store you copy a template and paste two things. For other Sheets you describe what you want in plain English, and AeroChat builds the workflow as a draft with a checklist of what is left to do.
Which plan do I need?
Workflows via Skills are on every plan. Choose the plan by how many messages you expect: Starter includes 500 AI responses a month, Growth 2,000 and Advanced 5,000. Payment links for orders taken in chat are included from the Growth plan.
Using a different system? If it has a public API, it connects to AeroChat the same way: describe what you want, paste in its key, and it runs.
