Connect Sage Accounting to WhatsApp, Instagram, TikTok and AI Chat
Customers message you on WhatsApp, Instagram, Messenger, TikTok, Telegram, web chat or email to ask about an invoice or request a quote, but your customers, invoices and quotes live in Sage Accounting. AeroChat answers those conversations and works from Sage as it goes: it finds the invoice, reads what is outstanding, creates the customer and drafts the quote. It connects through Sage Accounting’s public API. You describe the workflow in your own words, and AeroChat builds it.
What you can do with Sage Accounting and AeroChat
- Answer invoice questions in chat. AeroChat checks who is asking, finds their sales invoices in Sage and replies with the status and amount outstanding.
- Turn enquiries into Sage quotes. AeroChat asks your scoping questions and creates a quote in Sage for you to review and send.
- Add new customers. When a new enquiry gives their details in chat, AeroChat creates the customer contact in Sage.
- Keep billing details current. AeroChat updates a customer’s email, phone or address in Sage when they tell you it has changed.
- Answer price questions from your Sage products and services, so the chat and your invoices use the same prices.
Works on every chat channel
Your customers message you wherever they already are. The same Sage Accounting connection and the same workflows run on every channel AeroChat supports, and Sage stays the record whichever one they use.
| Channel | What your customers can do |
|---|---|
| Message your WhatsApp Business number to check an invoice, ask what they owe, update their billing details or request a quote. Voice notes are transcribed, so a spoken request works too. | |
| Send the same requests by direct message. A comment on your post can get an automatic reply that moves the conversation to a DM. | |
| Facebook Messenger | Send the same requests to your Facebook Page. Comments on your Page posts can get an automatic reply too. |
| TikTok | Send the same requests by TikTok direct message or TikTok Shop buyer chat. Both arrive in the same TikTok inbox. |
| Telegram | Send the same requests to your business on Telegram. |
| Web chat | Do the same from the chat on your website, without leaving the page. |
| Write to your Gmail or Office 365 address and get the same answer the chat gives. |
How the connection works
AeroChat connects through the public Sage Accounting API. It reads contacts, sales invoices, quotes, estimates, payments, and products and services. It creates and updates contacts and creates quotes. Each workflow uses only what its recipe asks for.
To connect, approve AeroChat’s access to your Sage Accounting business when AeroChat asks. Sage shows its own sign-in screen, where you allow access. There is no key to copy.
You describe the workflow in your own words. AeroChat builds it as a draft, works out which Sage calls it needs, and asks you to connect. Keys and credentials are entered in the AeroChat dashboard and never pass through the conversation.

When a customer asks about an invoice or what they owe, match their email or phone number to a customer contact in Sage Accounting. If there is no match, ask for their business name and the email we invoice, and only continue if it matches. Reply with each unpaid invoice number, date, due date and amount outstanding, and whether it is overdue. If they dispute an amount, hand the conversation to our accounts team. Never change an invoice.

When someone asks for a price, ask what they need, the quantity and when they need it. Find the matching products or services in Sage Accounting and reply with our standard prices. Find the customer in Sage by email, or create a new customer contact with their name, business name, email and phone. Create a quote for that customer with the items and a note of what they asked for. Tell them our team will review and send the quote within one working day (example).
Who uses it
Small businesses, trades and suppliers that invoice customers from Sage Accounting use it for invoice questions and quote requests. These recipes cover the same work:
- B2B suppliers, for trade customers asking about accounts, invoices and prices.
- Account and invoice questions
- Quote requests
- Price quotes for home services
What stays in Sage Accounting
Sage stays your record. Customers, invoices, quotes, payments, VAT or GST, banking and reports live there, and your team still sends quotes, issues invoices and records payments.
AeroChat handles the conversation. It creates and updates the contacts and quotes your recipe asks for and leaves the rest to Sage and your team.
