Turn WhatsApp Enquiries into Sage Accounting Quotes

By Alva Chew 4 min read Updated October 30, 2026

This recipe turns a price enquiry in chat into a customer and a quote in Sage Accounting, ready for your team to review and send. Part of connecting Sage Accounting to WhatsApp and AI chat.

What happens today

A buyer messages on WhatsApp asking for a price on 40 units, delivered next month. The details sit in the chat until someone has time to create the customer in Sage and build the quote. By then the buyer has asked two other suppliers, and the one who answered first usually wins.

The flow that works

  1. AeroChat asks what they need, the quantity and when.
  2. It finds the matching products or services in Sage and gives your standard prices.
  3. It finds the customer in Sage by email, or creates the contact.
  4. It creates a quote with the items and a note of the request.
  5. It tells the customer when to expect the final quote, and your team reviews and sends it from Sage.

The recipe

Copy this into AeroChat

When someone asks for a price or a quote, follow these steps.

  1. Ask what they need, the quantity, the delivery or job address, and when they need it.
  2. Find the matching products or services in Sage Accounting. Reply with our standard prices for those items, and say the final quote may change with volume or delivery.
  3. Ask for their name, business name, email and phone if we do not have them.
  4. Search Sage for a customer contact with that email. If there is none, create one with their name, business name, email, phone and address.
  5. Create a quote for that customer with the items and quantities. Add a note with their delivery date, address and anything else they asked for.
  6. Tell them our team will review and send the quote within one working day (example). If the order is over 500 units (example), hand the conversation to our sales team.

Only quote prices from Sage. Never promise a discount or a delivery date. Reply in the customer’s language.

Change the questions, the review time and the handover threshold to your own before you paste it.

What to connect

  • Sage Accounting. Approve AeroChat’s access to your Sage business when AeroChat asks. It reads products and services and contacts, and creates contacts and quotes. There is no key to copy.
  • Your products and services. Keep current prices on your items in Sage, because that is where AeroChat reads them.

After you paste the recipe, AeroChat builds the workflow as a draft and shows a checklist: connect Sage Accounting, add your knowledge base if the recipe uses one, then switch it on. If it built the connection from Sage Accounting’s public documentation, the checklist asks you to check it once against the current docs.

Using a different system? If it has a public API, it connects to AeroChat the same way: describe what you want, paste in its key, and it runs.

Can’t find your tool? Message us in the chat on this page and we’ll tell you how it connects.

What you still decide

  • Which questions AeroChat asks before it creates the quote.
  • Which orders go straight to your sales team.
  • Who reviews and sends the quote.

The result to expect

Every price enquiry from chat becomes a customer and a quote in Sage within minutes, with the details already filled in. Your team reviews and sends instead of retyping, and buyers hear back first.

Measure it with your own numbers: time from enquiry to quote sent, and quotes accepted, for a month before and after.

Next: answer invoice questions in chat.

Works on every chat channel

This workflow runs the same way on WhatsApp, Instagram, Facebook Messenger, TikTok, Telegram, the chat on your website and email, with the same Sage Accounting connection behind it. See what each channel does on the Sage Accounting integration page.
