Answer Quotation and Order Questions from Odoo on WhatsApp
This recipe lets customers ask about their quotation or order and get the answer from Odoo in the same chat, with any follow-up logged for the salesperson. Part of connecting Odoo to WhatsApp and AI chat.
What happens today
A customer messages to ask whether their quote has been sent, or whether their order is confirmed. The salesperson is out visiting customers, so someone in the office opens Odoo, searches, and types the answer back. On a busy day the same questions take hours of small interruptions, and some wait until the next morning.
The flow that works
- The customer asks about a quote or an order.
- AeroChat finds their contact in Odoo.
- It finds the quotation or sales order and reads its status.
- It tells them where things stand in plain words.
- If they want to accept, change or discuss it, it logs a note and schedules an activity for the salesperson.
The recipe
Copy this into AeroChat
When someone asks about a quotation or an order, follow these steps.
- Find their contact in Odoo by the phone number they message from. If there is none, ask for their email and search by that.
- Find their quotations and sales orders from the last 90 days (example). If there is more than one, list them by number and date and ask which one they mean. If they give a number such as S00042 (example), use that.
- Tell them the status in plain words. For example, Quotation Sent means the quote is with them for review, and Sales Order means the order is confirmed (example wording).
- Tell them the total, the date and the salesperson’s name. If we use Odoo Inventory, tell them whether the delivery is ready or done.
- If they want to accept the quote, change it or ask a question about it, log a note on the quotation with what they said, and schedule an activity for the salesperson due today (example). Tell them the salesperson will reply.
- If they report a problem with a delivered order, hand the conversation to our team.
Only share these details if the phone number they message from, or the email they give, matches the record. If it does not match, ask for the email on their account and check again. If it still does not match, hand the conversation to our team. Do not share margins or internal notes. Reply in the customer’s language.
Change the status wording and the time window to match how your team uses Odoo Sales before you paste it.
What to connect
- Odoo. A user who can see quotations and sales orders creates an API key in their profile under Account Security. Paste your Odoo address, database name, login and the key in when AeroChat asks.
After you paste the recipe, AeroChat builds the workflow as a draft and shows a checklist: connect Odoo, then switch it on. If it built the connection from Odoo’s public documentation, the checklist asks you to check it once against the current docs.
Using a different system? If it has a public API, it connects to AeroChat the same way: describe what you want, paste in its key, and it runs.
Can’t find your tool? Message us in the chat on this page and we’ll tell you how it connects.
What you still decide
- Which statuses AeroChat explains, and in what words.
- Whether it shares totals and delivery status.
- Which requests go straight to the salesperson.
The result to expect
Customers get the status of their quote or order in the same chat, at any hour. Salespeople see requests to accept or change a quote as activities in Odoo instead of scattered messages.
Measure it with your own numbers: quote and order questions answered without a handover, and time to first reply, for a month before and after.
Next: send chat leads to Odoo CRM.
Works on every chat channel
This workflow runs the same way on WhatsApp, Instagram, Facebook Messenger, TikTok, Telegram, the chat on your website and email, with the same Odoo connection behind it. See what each channel does on the Odoo integration page.
Let customers check their orders in chat
Paste the recipe, add your Odoo API key, and ask about one of your own test orders in the chat.
