Send WhatsApp Leads to Odoo CRM

This recipe makes sure every lead who talks to you in chat ends up in your Odoo CRM pipeline, with their details, the channel they used and a note of what they asked about. Part of connecting Odoo to WhatsApp and AI chat.

What happens today

Enquiries arrive on WhatsApp and Instagram, and the person replying means to create the lead in Odoo later. Some get created, some duplicate a customer already in Odoo, and some stay in a phone. When you look at where your pipeline comes from, chat barely shows up.

The flow that works

AeroChat answers the lead’s question first.
It asks for their name and email, if it does not have them.
It searches Odoo by email and phone, so a returning customer is not added twice.
It creates a lead with the source and tags, or logs the note on the open opportunity it found.
It logs a note with a short summary of the conversation.

The recipe

Copy this into AeroChat

When someone asks about our products or services, answer their question first from our knowledge base. Then follow these steps.

If we do not have their name and email, ask: “Can I take your name and email so our team can follow up?” Ask for their company name if they are buying for a business.

Search Odoo for a contact with that email, then with their phone number.

If the contact has an open opportunity, log a note on it and do not create a new lead.

If not, create a lead with a title that says what they asked about, for example Wholesale enquiry, plus their name, email, phone and company (example title).

Set the source to the channel they used, add the tag Chat and assign it to the Sales team (example values).

Log a note on the lead with a two-line summary of what they asked about and anything they said about quantity, budget or timing.

If they ask to speak to someone, hand the conversation to the salesperson on their contact, or to our sales team if there is none.

Do not ask for their email more than once. If they do not want to share it, carry on helping and create the record with their phone number. Reply in the customer’s language.

Change the tag, source and sales team to the ones your Odoo database uses before you paste it.

What to connect

Odoo. A user with access to the CRM creates an API key in their profile under Account Security. Paste your Odoo address, database name, login and the key in when AeroChat asks. Odoo makes the external API available on its Custom plan.
Your knowledge base. Upload your product or service details to AeroChat so it can answer before it asks for details.

After you paste the recipe, AeroChat builds the workflow as a draft and shows a checklist: connect Odoo, add your knowledge base if the recipe uses one, then switch it on. If it built the connection from Odoo’s public documentation, the checklist asks you to check it once against the current docs.
