Qualify Property Leads on WhatsApp After You Answer

By Alva Chew 5 min read Updated October 25, 2026

This recipe asks buyers and tenants the one question that decides whether a viewing is worth your hour, after their own question is answered. It records the answers on the lead in your real estate CRM so you read them before the viewing, and sends you a short summary. Part of the property agent workflows.

What happens today

An agent asks budget, timeline and financing before saying whether the property is available. The buyer reads it as a credit check and stops replying. Or the agent asks nothing, books the viewing, drives across town, and learns at the door that the buyer has not sold their current home and cannot move for a year.

Both cost you. One loses the lead and the other loses the hour.

The flow that works

  1. The buyer’s question is answered first, and a viewing is offered (see listing enquiries).
  2. Once a viewing is booked, AeroChat asks one question that fits the listing. For a resale property, when they hope to move. For a new development, whether their financing is in place. For a rental, move-in date, lease length and how many people will live there.
  3. It may ask one follow-up if the answer is unclear. It does not ask for income, documents or anything a licensed agent should handle.
  4. It records the answers on the lead in your CRM and marks the lead hot, warm or early by rules you set.
  5. It sends you a short summary on your phone before the viewing.

Rentals that clearly do not fit, such as a move-in date months away or a lease shorter than your minimum, get a polite reply and an offer to join your new-listing updates, without a viewing. Those updates go out as a WhatsApp broadcast, from the Growth plan.

The recipe

Copy this into AeroChat

After a viewing is booked, ask one qualifying question that fits the listing. Follow these steps.

  1. Check the listing type in our CRM.
  2. For a resale property, ask: “So I can prepare, when are you hoping to move?” For a new development, ask: “Is your financing already in place, or are you still looking at options?” For a rental, ask their move-in date, the lease length they want, and how many people will live there, one at a time.
  3. If the answer is unclear, ask one short follow-up. Do not ask about income, salary or documents.
  4. For rentals, if the move-in date is more than three months away or the lease is shorter than our minimum of 12 months (example), say so politely, cancel the viewing with their agreement, and offer to add them to our new-listing updates. Mark them as opted in to updates on their lead in our CRM.
  5. Update their lead in our CRM with the answers and a status. Hot: moving within three months, or financing in place. Warm: three to six months. Early: more than six months, or not sure (example rules).
  6. Send me a two-line summary of the lead, the listing and their answers.

If they ask how much they can borrow, about loan approval, property taxes or whether to sell first, say I will discuss it with them personally and hand the conversation to me. Reply in the customer’s language.

Change the questions, the minimum lease and the status rules to your own before you paste it.

What to connect

  • Your real estate CRM. One lead per enquiry, with fields or tags for the qualifying answers and the status. The listing enquiries recipe creates the leads. Follow Up Boss, HubSpot or Rex connect through their APIs. In Follow Up Boss, copy your API key from Admin, then API. In HubSpot, a super admin creates a private app and copies its access token. In Rex, set up a user for AeroChat. Paste it in when AeroChat asks.
  • Your listings. Each listing marked with its type: resale, new development or rental.
  • Team notifications. Lead summaries go to you in the AeroChat mobile app.

If you are a solo agent who keeps leads in a Google Sheet, connect your Google account and approve the access, and AeroChat records the answers in your Sheet instead.

Using a different system? If it has a public API, it connects to AeroChat the same way: describe what you want, paste in its key, and it runs.

Can’t find your tool? Message us in the chat on this page and we’ll tell you how it connects.

What you still decide

  • Which one question to ask for each listing type.
  • Your minimum lease and other rental rules.
  • What counts as hot, warm and early.
  • Whether early leads get a viewing or an offer to keep them posted.

AeroChat asks only the questions you list. It does not judge whether a buyer can afford a property.

The result to expect

You walk into each viewing knowing the buyer’s timeline or the tenant’s move-in date. Viewings that were never going to proceed get filtered or moved, and the qualifying question no longer puts buyers off, because it comes after they have what they asked for.

Measure it with your own numbers: viewings per closed deal or signed tenancy, for a quarter before and after you start.

Next: agent handover and rental and tenant questions.

Know your buyer before the viewing

Paste the recipe after the listing enquiries one, book a test viewing, and check the summary that reaches your phone.
