Send WhatsApp Leads to Agile CRM Contacts

By Alva Chew 4 min read Updated October 30, 2026

This recipe makes sure every lead who talks to you in chat ends up in Agile CRM as a contact, tagged by channel and interest, with a note of what they asked about. Part of connecting Agile CRM to WhatsApp and AI chat.

What happens today

Leads arrive on WhatsApp and Instagram, and the person replying means to add them to Agile CRM later. Some get added, some get added twice, and some stay in a phone. Your campaigns and lead scores never see the people who first reached you in chat.

The flow that works

  1. AeroChat answers the lead’s question first.
  2. It asks for their name and email, if it does not have them.
  3. It searches Agile CRM by email, so a returning lead updates the existing contact.
  4. It creates or updates the contact and adds tags for the channel and interest.
  5. It adds a note with a short summary of the conversation.

The recipe

Copy this into AeroChat

When someone asks about our products or services, answer their question first from our knowledge base. Then follow these steps.

  1. If we do not have their name and email, ask: “Can I take your name and email so our team can follow up?”
  2. Search Agile CRM for a contact with that email.
  3. If a contact exists, update their phone number if it is missing. If not, create a contact with their first name, last name, email, phone number and company.
  4. Add the tag chat-lead, a tag for the channel they used, such as whatsapp, and a tag for what they asked about, such as interest-consulting (example tags).
  5. Add a note to the contact with a two-line summary of what they asked about and anything they said about budget or timing.
  6. If they ask to speak to someone, create a call task for the contact owner due today (example) and tell them who will call. If there is no owner, hand the conversation to our sales team.

Do not ask for their email more than once. If they do not want to share it, carry on helping and create the record with their phone number. Reply in the customer’s language.

Change the tags to the ones your Agile CRM campaigns and scoring rules use before you paste it.

What to connect

  • Agile CRM. An admin opens Admin Settings, then API & Analytics, and copies the REST API key. Paste it in with your Agile CRM domain and the user’s email when AeroChat asks.
  • Your knowledge base. Upload your product or service details to AeroChat so it can answer before it asks for details.

After you paste the recipe, AeroChat builds the workflow as a draft and shows a checklist: connect Agile CRM, add your knowledge base if the recipe uses one, then switch it on. If it built the connection from Agile CRM’s public documentation, the checklist asks you to check it once against the current docs.

Using a different system? If it has a public API, it connects to AeroChat the same way: describe what you want, paste in its key, and it runs.

What you still decide

  • Which tags AeroChat adds, and the names it uses.
  • When it asks for details: right away, or after answering.
  • Who gets the call task or the handover.

The result to expect

Every chat lead is in Agile CRM with tags and a note, without anyone typing it. Your campaigns and lead scoring include chat leads, and duplicates stop piling up.

Measure it with your own numbers: contacts created from chat, and deals that started in chat, for a month before and after.

Next: answer deal status questions in chat.

Works on every chat channel

This workflow runs the same way on WhatsApp, Instagram, Facebook Messenger, TikTok, Telegram, the chat on your website and email, with the same Agile CRM connection behind it. See what each channel does on the Agile CRM integration page.
