Answer Deal Status Questions from Agile CRM on WhatsApp
This recipe lets prospects and customers ask where their proposal or deal stands and get the answer from Agile CRM in the same chat. Part of connecting Agile CRM to WhatsApp and AI chat.
What happens today
A prospect messages to ask whether the proposal is coming, or what the next step is. The owner is busy with another client, so the message waits. The prospect cools off, and the deal slips for a reason that had nothing to do with price.
The flow that works
- The prospect asks about their proposal or deal.
- AeroChat finds their contact in Agile CRM.
- It reads the open deal’s milestone, owner and close date.
- It tells them where things stand in plain words.
- If they want to talk, it creates a task for the owner.
The recipe
Copy this into AeroChat
When someone asks about a proposal, a quote or a deal we are working on, follow these steps.
- Ask for the email on their account if we do not have it, and find their contact in Agile CRM by that email.
- Find the open deals related to that contact. If there is more than one, list them by name and ask which one they mean.
- Tell them the milestone in plain words. For example, Prospect means we are preparing their proposal, and Proposal means it is with them for review (example milestones).
- Tell them the name of the deal owner and the close date if one is set.
- If they want to talk, create a call task for the deal owner, due today (example), with what they want to discuss. Tell them the owner will call or message them.
- If they raise a concern about price or terms, hand the conversation to the deal owner.
Only share these details if the phone number they message from, or the email they give, matches the record. If it does not match, ask for the email on their account and check again. If it still does not match, hand the conversation to our team. Do not share the deal value or probability. Reply in the customer’s language.
Change the milestone descriptions to match the milestones in your Agile CRM deal tracks before you paste it.
What to connect
- Agile CRM. An admin opens Admin Settings, then API & Analytics, and copies the REST API key, using a user who can see the team’s deals. Paste it in with your Agile CRM domain and the user’s email when AeroChat asks.
After you paste the recipe, AeroChat builds the workflow as a draft and shows a checklist: connect Agile CRM, then switch it on. If it built the connection from Agile CRM’s public documentation, the checklist asks you to check it once against the current docs.
Using a different system? If it has a public API, it connects to AeroChat the same way: describe what you want, paste in its key, and it runs.
Can’t find your tool? Message us in the chat on this page and we’ll tell you how it connects.
What you still decide
- Which milestones AeroChat explains, and in what words.
- Whether it shares the owner’s name and close date.
- Which questions go straight to the owner.
The result to expect
Prospects get an answer while they are still interested, and owners get a task in Agile CRM when someone wants to talk. Fewer deals go quiet while a message waits.
Measure it with your own numbers: status questions answered without a handover, and time to first reply, for a month before and after.
Next: send chat leads to Agile CRM contacts.
Works on every chat channel
This workflow runs the same way on WhatsApp, Instagram, Facebook Messenger, TikTok, Telegram, the chat on your website and email, with the same Agile CRM connection behind it. See what each channel does on the Agile CRM integration page.
Let prospects check their deal in chat
Paste the recipe, add your Agile CRM API key, and ask about one of your own test deals in the chat.
