Answer WhatsApp Booking Questions with Pabbly Connect and Google Sheets
This recipe answers “when is my appointment” in chat from a Google Sheet your Pabbly Connect workflows keep, and sends change requests back to a workflow. Part of connecting Pabbly Connect to WhatsApp and AI chat.
What happens today
Your booking form and payment page start Pabbly Connect workflows that log each booking in a Google Sheet. When a customer asks on WhatsApp what time they are booked for, or asks to move it, someone opens the sheet, searches for them and types a reply. Change requests sit in the chat until someone has time.
The flow that works
- A Pabbly Connect workflow adds a row to a Google Sheet for every booking.
- The customer asks about their appointment in chat.
- AeroChat finds their row by phone number and replies with the date, time and service.
- If they want to change it, AeroChat collects two times that suit them.
- It sends the change request to your Pabbly Connect webhook, and your workflow alerts your team or updates the booking.
The recipe
Copy this into AeroChat
When a customer asks about their appointment, follow these steps.
- Find the row with their phone number in our Bookings Google Sheet (example). If there is more than one upcoming booking, ask which one they mean.
- Tell them the service, date and time in that row, for example “Facial, Saturday 15 November at 11am” (example).
- If they want to change it, ask for two times that suit them in the next two weeks.
- Send their name, phone number, booking ID and the two preferred times to our Pabbly Connect webhook.
- Tell them we have their request and will confirm the new time by message within one working day (example).
If there is no row with their phone number, ask for the name they booked under and search again, then hand the conversation to our team if there is still no match. Reply in the customer’s language.
Change the sheet name, column names and service names to the ones your workflow writes before you paste it.
What to connect
- Google Sheets. Connect your Google account and approve the access, then choose the sheet your workflow writes to. See Google Sheets with AeroChat.
- Pabbly Connect. Keep the workflow that adds each booking to the sheet. For change requests, create a workflow with a Catch Webhook trigger and paste its URL in when AeroChat asks.
After you paste the recipe, AeroChat builds the workflow as a draft and shows a checklist: connect Google Sheets, paste in your Pabbly Connect webhook URL, then switch it on.
Using a different system? If it has a public API, it connects to AeroChat the same way: describe what you want, paste in its key, and it runs.
Can’t find your tool? Message us in the chat on this page and we’ll tell you how it connects.
What you still decide
- Which booking details the customer may see.
- How far ahead customers may move a booking.
- Who confirms changes, and how.
The result to expect
Customers get their booking details in seconds at any hour, and change requests reach your team complete, with two times to choose from.
Measure it with your own numbers: booking questions answered without your team, and time to confirm a change, for a month before and after.
Next: send chat leads into your workflows.
Works on every chat channel
This workflow runs the same way on WhatsApp, Instagram, Facebook Messenger, TikTok, Telegram, the chat on your website and email, with the same Google Sheet and Pabbly Connect webhook behind it. See what each channel does on the Pabbly Connect integration page.
