Take Quote Requests from WhatsApp with ServiceM8
This recipe turns a “how much to fix this?” message into a quote job in ServiceM8 with everything your team needs to price it. Part of the ServiceM8 integration.
What happens today
A customer sends a photo of a broken unit and asks for a price. The office asks for the model, the address and how old it is, over several messages across a day. Then someone copies it all into ServiceM8 so an estimator can price it. Details get lost between the chat and the job.
The flow that works
- The customer describes the job. AeroChat gives a price straight away when the work is on your fixed price list.
- For anything else, it asks the questions your estimator needs and asks for photos.
- It creates a job in ServiceM8 in your quote status, with the details in the job description and the chat summary as a note.
- It tells the customer when to expect the quote.
The recipe
Copy this into AeroChat
When a customer asks for a price, check our price list first. If the job is on it, give the price and offer to book it. If it is not, ask what the problem is, the brand and model, roughly how old the unit is, the address, and ask for one or two photos. Then create the client in ServiceM8 if they are new, and create a job with status Quote, the address and a description of the work. Add a note with a summary of the chat. Tell the customer our team will send the quote within one working day (example). Never estimate a price for work that is not on the price list.
What to connect
- ServiceM8. Create an API key in your ServiceM8 account settings and enter it in the AeroChat dashboard when asked.
- Your fixed price list. Upload it to the AeroChat knowledge base. Anything not on it goes to your team as a quote job.
Using a different system? If it has a public API, it connects to AeroChat the same way: describe what you want, paste in its key, and it runs.
Can’t find your tool? Message us in the chat on this page and we’ll tell you how it connects.
What you still decide
- Which jobs have a fixed price and which always need a quote.
- The questions your estimator needs answered.
- How fast you promise to send a quote.
The result to expect
Quote requests reach your estimator complete, already in ServiceM8, without anyone retyping a chat. Customers on fixed-price jobs can book in the same conversation. Watch how long a quote takes from first message to sent.
