Qualify WhatsApp Leads and Create HubSpot Deals
This recipe asks a lead your qualifying questions in chat, records the answers in HubSpot and opens a deal when they fit. Part of connecting HubSpot to WhatsApp and AI chat.
What happens today
A salesperson spends the first call finding out what a chat could have told them: budget, timing, what the lead needs. Leads that were never a fit take the same time as the ones that were. The answers that do get collected sit in a chat thread, not in HubSpot.
The flow that works
- AeroChat answers the lead’s question.
- It asks two or three qualifying questions, one at a time.
- It records the answers on the HubSpot contact.
- If the lead fits, it opens a deal linked to the contact in your first pipeline stage.
- It hands the conversation to the contact owner with a summary.
The recipe
Copy this into AeroChat
After you answer a lead’s first question and have their name and email, follow these steps.
- Find or create their contact in HubSpot by email or phone.
- Ask, one at a time: what they are looking for, when they want to start, and their budget range (example questions).
- Save the answers to the contact properties for need, timeline and budget.
- If they want to start within three months and their budget is above US$5,000 (example), create a deal linked to the contact, named with their company and need, in the Qualified stage of our sales pipeline.
- Tell them a member of our team will be in touch, and hand the conversation to the contact owner with a two-line summary. If there is no owner, hand it to our sales team.
- If they do not fit, thank them, give them a useful next step from our knowledge base, and set their lead status to Unqualified.
Never promise a price or discount. Ask each question only once. Reply in the customer’s language.
Change the questions, thresholds, pipeline and stage names to your own before you paste it.
What to connect
- HubSpot. A super admin creates a private app with read and write access to contacts and deals, and copies its access token. Paste it in when AeroChat asks.
- Contact properties. Create properties in HubSpot for the answers you want saved, such as timeline and budget.
After you paste the recipe, AeroChat builds the workflow as a draft and shows a checklist: connect HubSpot, add your knowledge base if the recipe uses one, then switch it on. If it built the connection from HubSpot’s public documentation, the checklist asks you to check it once against the current docs.
Using a different system? If it has a public API, it connects to AeroChat the same way: describe what you want, paste in its key, and it runs.

What you still decide
- The questions and what counts as a fit.
- Which pipeline and stage new deals go into.
- Who follows up, and how fast.
The result to expect
Your team opens HubSpot to deals that already carry the lead’s need, timing and budget. First calls start further along, and leads that are not a fit no longer take a salesperson’s time.
Measure it with your own numbers: share of chat leads qualified, and time from first message to first call, for a month before and after.
