Take Orders and Payments on WhatsApp with HitPay
This recipe takes an order in chat and collects the payment with the HitPay account you already have. The customer confirms what they want, pays by link and gets the confirmation, with no bank transfer screenshot to check. Part of the HitPay integration.
What happens today
A customer orders over WhatsApp. You type out the total, send your payment details and wait. They send a screenshot, or say they will pay tonight. You check your account, match the payment to the order and reply. When several orders come in at once, payments get matched to the wrong order or missed, and orders sit unconfirmed.
The flow that works
- The customer chooses what they want. AeroChat confirms the items, options, quantity and delivery details.
- It works out the total from your price list and delivery fees.
- It creates a HitPay payment request with the order number as the reference and sends the checkout link.
- The customer pays on HitPay’s page.
- When HitPay shows the payment as completed, AeroChat records the order as paid and confirms it with the customer.
The recipe
Copy this into AeroChat
When a customer wants to place an order, follow these steps.
- Confirm the products, options and quantities, using only products and prices from our product list.
- Ask for their name, phone number and delivery address. Add the delivery fee from our delivery policy, for example US$6 for orders under US$60 and free above that (example).
- Tell them the total and ask them to confirm.
- When they confirm, give the order a number, create a HitPay payment request for the total with the order number as the reference and their email if we have it, and send the checkout link.
- When HitPay shows the payment as completed, add the order to our Orders Sheet with the order number, date, items, total, customer details and “paid”, and confirm the order with the items, total and expected delivery time, for example 2 to 4 working days.
- If they come back and say the payment failed, check the payment request in HitPay. If it is not completed, send a new link for the same order.
Never mark an order as paid until HitPay shows the payment as completed. Never give a discount. If they ask for a refund, an exchange or a custom order, hand the conversation to a team member. Reply in the customer’s language.
Change the delivery fees, delivery times and where orders are recorded to your own before you paste it.
What to connect
- HitPay. Copy your API key and salt from your HitPay Dashboard and enter them in the AeroChat dashboard when the checklist asks. If it shows a webhook address, add it in HitPay under Developers, Webhook Endpoints. Use your sandbox keys first, then switch to live keys.
- Where orders are recorded. A Google Sheet connects when you connect your Google account and approve the access. If you sell from the Google Sheets store, orders go straight to its Orders tab. Shopify is built in.
- Your product list and policies. Upload your products, prices, delivery fees and refund policy to the AeroChat knowledge base, or keep them in the Sheet.
Airwallex payment links are built into AeroChat if you do not use HitPay. Payment links are included from the Growth plan.

What you still decide
- Your products, prices and delivery fees.
- Which payment methods are switched on in HitPay.
- Your refund and exchange policy.
- Which orders go to a person, such as large or custom orders.
AeroChat only charges the prices in your list and never marks an order paid without HitPay’s confirmation.
The result to expect
Orders arrive already paid and already written up, so you stop matching screenshots to chats. Customers who order in the evening can pay straight away instead of waiting for your payment details.
