Log WhatsApp Leads to a Google Sheet
This recipe turns enquiries in chat into rows in a Google Sheet. AeroChat asks the questions your team would ask, records the answers and tells your team when a lead is ready to talk. Part of the Google Sheets integration.
What happens today
Enquiries arrive across WhatsApp, Instagram and Messenger. Some get a reply and some get lost under newer messages. Nobody has the full list, so follow-ups depend on someone scrolling back through chats. When a manager asks how many leads came in last week, the honest answer is a guess.
The flow that works
- Someone asks about your service. AeroChat answers their question from your own information.
- It asks a short set of qualifying questions, such as what they need, when and their budget.
- It adds a row to your Leads Sheet with the answers, the channel and the date.
- It tells the customer when to expect a follow-up.
- If the lead is ready to buy, it notifies your team and hands the conversation over.
The recipe

When someone asks about our services, follow these steps.
- Answer their question from our service list and pricing.
- If they seem interested, ask these questions one at a time: their name, what they need, when they need it, and their budget. If they do not want to say, move on.
- Add a row to our Leads Sheet with the date, channel, name, phone number, what they need, timing, budget and a one-line summary of the conversation.
- If they need it within two weeks and their budget is at least US$500 (example), mark the row as Hot, tell them a team member will contact them today, and hand the conversation to a team member.
- Otherwise, mark the row as Follow up and tell them a team member will be in touch within one working day.
Do not add a row twice for the same phone number on the same day. Update the existing row instead. Reply in the customer’s language.
Change the questions, the Hot rule and the follow-up times to your own before you paste it.
What to connect
- Your Leads Sheet. A Google Sheet with columns for date, channel, name, phone, need, timing, budget, summary and status. Connect your Google account when AeroChat asks and approve access to it.
- Your service information. Upload your services, prices and common answers to the AeroChat knowledge base so the first reply is useful.
Using a different system? If it has a public API, it connects to AeroChat the same way: describe what you want, paste in its key, and it runs. Many teams move from a Sheet to a CRM later, and the same recipe can write to the CRM instead.
Can’t find your tool? Message us in the chat on this page and we’ll tell you how it connects.
What you still decide
- Which questions qualify a lead, and in what order.
- What counts as a hot lead.
- Who follows up, and how quickly.
- Which details go into the Sheet.
The result to expect
Every enquiry ends up in one list, with the answers already collected, whichever channel it came from. Your team starts each follow-up knowing what the person needs and when.
Measure it with your own numbers: leads logged per week, and how many of them your team contacted within a day.
