Book Property Viewings on WhatsApp with Follow Up Boss

This recipe books a viewing in chat and records it on the lead in Follow Up Boss, so the agent sees it with the rest of the lead’s history. Part of connecting Follow Up Boss to WhatsApp and AI chat.

What happens today

A buyer asks to see a property on Saturday. The agent checks their diary, replies with two times, and the buyer picks one by lunchtime. The agent adds it to their calendar but not to Follow Up Boss, so the lead looks untouched to the rest of the team.

The flow that works

The buyer asks to view a listing.
AeroChat checks the listing agent’s Google Calendar and offers up to three times.
The buyer picks one.
AeroChat adds the viewing to the agent’s calendar and creates an appointment on the person in Follow Up Boss.
It confirms the address and what to bring, and passes any special requests to the agent.

The recipe

When someone asks to view a listing, follow these steps.

Work out which listing and which agent handles it from our listings knowledge base.

Find or create the person in Follow Up Boss by email or phone. If you do not have their name and email, ask for them.

Check the agent’s Google Calendar for free 30-minute slots (example) between 9am and 7pm in the next five days, leaving 30 minutes between viewings at different addresses. Offer up to three times.

When they choose, add the viewing to the agent’s calendar with the buyer’s name, phone and the listing address.

Create an appointment on the person in Follow Up Boss with the date, time, address and the agent invited.

Confirm the time and address, and ask them to bring photo ID (example). If they need to change it, offer new times in the same chat.

Never book a time the calendar does not show as free. If they ask about price negotiation or making an offer, hand the conversation to the agent.

Change the viewing length, hours and gaps to your own before you paste it.

What to connect

Follow Up Boss. Copy your API key from Admin, then API, and paste it in when AeroChat asks.
Google Calendar. Connect your Google account and approve the access, so AeroChat can read each agent’s free time and add viewings.
Your listings. Upload your listings with the agent for each one.
