Answer Package and Membership Balances from WhatsApp with Zenoti
This recipe answers package and membership balance questions on WhatsApp, Instagram or Messenger from the guest’s record in Zenoti, then offers to book the next session. Part of connecting Zenoti to WhatsApp and AI chat.
What happens today
A guest messages: “how many sessions left on my 10x massage package? and when does it expire”. The front desk looks them up in Zenoti, reads the package, and replies when there is a gap between guests. It is a two-minute job that arrives many times a day, and each one waits for a free moment.
A guest who learns their package expires soon often books on the spot. A guest who waits for the answer often does not.
The flow that works
- The guest asks about their balance. AeroChat finds them in Zenoti by the phone number they are messaging from.
- If the number matches, it reads their active packages and memberships.
- It replies with the sessions or credits left and the expiry date for each.
- It offers to book the next session, and hands to the booking workflow if they say yes.
Balances are only shared with the guest whose number is on the record.
The recipe
Copy this into AeroChat
When a guest asks about their package, membership or sessions left, follow these steps.
- Find them in Zenoti by the phone number they are messaging from. If no guest matches, ask for the name and email on their account, and only continue if both match one guest. Otherwise hand over to a team member.
- Read their active packages and memberships in Zenoti.
- For each one, tell them the name, the sessions or credits left and the expiry date. If one expires within 30 days (example), say so.
- Ask if they would like to book their next session. If yes, book it the same way as a new booking.
- If they dispute a balance or ask for an extension or refund, do not change anything. Collect the details and hand over to a team member.
Never share another guest’s details. Never change a balance or an expiry date. Reply in the guest’s language.
Change the 30-day expiry notice to your own before you paste it.
What to connect
- Zenoti. The same API key as the booking recipe. If Zenoti is already connected, this recipe uses it.
- Your package rules. Upload your package terms, sharing rules and extension policy to the AeroChat knowledge base so the answers quote them.
Using a different system? If it has a public API, it connects to AeroChat the same way: describe what you want, paste in its key, and it runs.
Can’t find your tool? Message us in the chat on this page and we’ll tell you how it connects.
What you still decide
- How a guest proves who they are when the number does not match.
- Whether you mention expiry, and how far ahead.
- Who handles extensions, refunds and disputes.
The result to expect
Balance questions get an answer in seconds, at any hour, and many turn into a booked session in the same chat. The desk stops looking up balances and only sees the disputes.
Measure it with your own numbers: balance questions handed to staff, and sessions booked from balance chats, for a month before and after.
