Answer Status Questions from Streak on WhatsApp
This recipe lets clients ask where their project, order or application stands and get the answer from Streak in the same chat, with anything new they send added to the box. Part of connecting Streak to WhatsApp and AI chat.
What happens today
A client messages to ask how their project is going. The answer is in Streak, one stage name away, but the person who owns the box is busy, so the client waits. The client asks again, and someone breaks off from real work to reply.
The flow that works
- The client asks where things stand.
- AeroChat finds their box in Streak and checks it is theirs.
- It reads the stage and tells them what it means.
- If they send new details, it adds them to the box as a comment.
- If they approve the next step, it moves the box to the next stage.
The recipe
Copy this into AeroChat
When a client asks about their project, follow these steps.
- Ask for their company name if we do not know it. Search Streak for their box in the Client Projects pipeline (example).
- Check that the phone number they message from, or the email they give, matches the Email or Phone field on the box.
- Tell them the stage in plain words. For example, In Production means we are working on it, and Awaiting Approval means we need their sign-off (example stages).
- If the box has a Due Date field (example), tell them the date.
- If they send new details, files or answers, add them as a comment on the box.
- If they say they approve the work while the box is in Awaiting Approval, move the box to the next stage and add a comment saying they approved it in chat.
- If they are unhappy or ask for a change of scope, hand the conversation to the person the box is assigned to.
If the phone number or email does not match the box, do not share any details. Ask for the email on their account and check again. If it still does not match, hand the conversation to our team. Do not share comments or field values that are not listed here. Reply in the customer’s language.
Change the pipeline, stage descriptions and field names to the ones your Streak pipeline uses before you paste it.
What to connect
- Streak. Open Streak in Gmail, select Integrations from the Streak sidebar and create an API key under Streak API, from an account that can see the pipeline. Paste the key in when AeroChat asks.
After you paste the recipe, AeroChat builds the workflow as a draft and shows a checklist: connect Streak, then switch it on. If it built the connection from Streak’s public documentation, the checklist asks you to check it once against the current docs.
Using a different system? If it has a public API, it connects to AeroChat the same way: describe what you want, paste in its key, and it runs.
Can’t find your tool? Message us in the chat on this page and we’ll tell you how it connects.
What you still decide
- Which stages AeroChat explains, and in what words.
- Which fields clients may see.
- Which stage changes AeroChat may make, if any.
The result to expect
Clients get the status of their project in the same chat, and new details land on the box. Your team spends less time answering where things stand.
Measure it with your own numbers: status questions answered without a handover, and time to first reply, for a month before and after.
Next: add chat enquiries to Streak.
Works on every chat channel
This workflow runs the same way on WhatsApp, Instagram, Facebook Messenger, TikTok, Telegram, the chat on your website and email, with the same Streak connection behind it. See what each channel does on the Streak integration page.
Let clients check their status in chat
Paste the recipe, add your Streak API key, and ask about one of your own test boxes in the chat.
