Send WhatsApp Requests to n8n Workflows
This recipe turns a customer’s request in chat into a record in your systems, by sending the details to an n8n workflow that creates it. Part of connecting n8n to WhatsApp and AI chat.
What happens today
Requests arrive in chat with half the details. Someone asks follow-up questions over several hours, then copies everything into the CRM, the helpdesk or the job system. Your n8n workflows could create those records, but nothing feeds them from the chat.
The flow that works
- The customer asks for a repair, a service visit or a callback.
- AeroChat asks for the details your workflow needs, one question at a time.
- It sends them to your n8n webhook.
- Your workflow creates the record and returns its reference number.
- AeroChat confirms the request with that reference.
The recipe
Copy this into AeroChat
When a customer asks for a repair or a service visit, follow these steps.
- Ask for their name, address, the item or service involved, a short description of the problem and two times that suit them (example fields).
- Ask for a photo if it would help our technician, and continue without one if they do not have it.
- Send all of these with their phone number and the channel they used to our n8n webhook.
- The workflow replies with reference (example field). Tell the customer their reference and that we will confirm the visit within one working day (example).
- If the workflow does not reply with a reference, tell them our team has their details and hand the conversation over.
Ask only for what is missing. Reply in the customer’s language.
Change the fields to match the record your workflow creates before you paste it.
What to connect
- n8n. Add a Webhook node set to POST that responds using a Respond to Webhook node, and end the workflow with that node returning the reference. Publish the workflow and paste the production URL in when AeroChat asks.
- The systems the workflow writes to. Connect your CRM, helpdesk or job system inside n8n, as you do for any workflow.
After you paste the recipe, AeroChat builds the workflow as a draft and shows a checklist: paste in your n8n webhook URL, add the header value if you use one, then switch it on. Make a test request and check the new record in your system.
Using a different system? If it has a public API, it connects to AeroChat the same way: describe what you want, paste in its key, and it runs.
Can’t find your tool? Message us in the chat on this page and we’ll tell you how it connects.
What you still decide
- Which details AeroChat asks for.
- What the workflow creates, and where.
- Who gets the handover.
The result to expect
Requests arrive complete, as records in your systems, with a reference the customer already has. Your team works on the request instead of collecting details.
Measure it with your own numbers: requests recorded from chat, and time from first message to a confirmed visit, for a month before and after.
Next: answer questions from your n8n workflows.
Works on every chat channel
This workflow runs the same way on WhatsApp, Instagram, Facebook Messenger, TikTok, Telegram, the chat on your website and email, with the same n8n webhook behind it. See what each channel does on the n8n integration page.
