Answer WhatsApp Questions from n8n Workflows
This recipe lets customers ask in chat for something your n8n workflow can look up, such as an order status, and get the answer in the same conversation. Part of connecting n8n to WhatsApp and AI chat.
What happens today
The answer to most status questions sits in a system your n8n workflows already reach: the shop, the courier, the booking tool or your own database. When a customer asks on WhatsApp, someone on your team still opens that system, finds the record and types a reply. The workflow that could answer in a second is not part of the conversation.
The flow that works
- The customer asks about an order.
- AeroChat asks for the order number, if it does not have it.
- It sends the order number and phone number to your n8n webhook.
- Your workflow looks up the order and returns its status through a Respond to Webhook node.
- AeroChat replies with the status, or hands over if the workflow found nothing.
The recipe
Copy this into AeroChat
When a customer asks about the status of their order, follow these steps.
- Ask for their order number, if they have not given it.
- Send order_number and phone to our n8n webhook (example field names).
- The workflow replies with found, status, delivery_date and tracking_url (example fields). If found is true, tell the customer the status and the delivery date, and share the tracking link.
- If found is false, ask them to check the number once. If it still does not match, hand the conversation to our team with the number they gave.
- If the status is Delayed (example value), apologise and ask whether they want our team to contact them.
Only share an order when the workflow confirms it belongs to this phone number. Reply in the customer’s language.
Change the field names to the ones your workflow expects and returns before you paste it. Have the workflow check the phone number against the order before it replies.
What to connect
- n8n. Add a Webhook node set to POST that responds using a Respond to Webhook node. Build the lookup, end it with a Respond to Webhook node that returns JSON, publish the workflow, and paste the production URL in when AeroChat asks. If you use header authentication, paste the header value too.
- The system that holds your orders. Connect it inside n8n, as you do for any workflow. AeroChat never needs its credentials.
After you paste the recipe, AeroChat builds the workflow as a draft and shows a checklist: paste in your n8n webhook URL, add the header value if you use one, then switch it on. Ask about a test order and check the reply in the chat and in the n8n execution history.
Using a different system? If it has a public API, it connects to AeroChat the same way: describe what you want, paste in its key, and it runs.
Can’t find your tool? Message us in the chat on this page and we’ll tell you how it connects.
What you still decide
- Which fields the workflow returns and the customer sees.
- How the workflow checks it is the right customer.
- When AeroChat hands over instead of answering.
The result to expect
Customers get their order status in the chat at any hour, from the same systems your workflows already read. Your team sees only the orders that need a person.
Measure it with your own numbers: status questions answered without your team, and time to first reply, for a month before and after.
Next: send chat requests into n8n.
Works on every chat channel
This workflow runs the same way on WhatsApp, Instagram, Facebook Messenger, TikTok, Telegram, the chat on your website and email, with the same n8n webhook behind it. See what each channel does on the n8n integration page.
