Take Hotel Bookings on WhatsApp with Mews

This recipe turns a room question on WhatsApp into a confirmed direct booking in Mews. It reads availability and prices, offers the options, takes a deposit and creates the reservation. Part of the Mews integration.

What happens today

A guest asks “any room for 3 nights from Friday, 2 adults 1 kid?”. Someone has to open Mews, check the categories and prices, type out the options and wait. If the reply comes the next morning, the guest has often booked through an online travel agency, and you pay commission on a guest who came to you first.

The flow that works

The guest asks in their own words. AeroChat works out the dates and the guests, and asks only for what is missing.
It checks Mews for room categories free on every night and reads the direct prices.
It offers up to three options with the total price and what the rate includes.
The guest picks one and gives their name, email and phone number. AeroChat sends a deposit link.
When the deposit is paid, it checks availability again and creates the reservation in Mews with a note of the payment. The guest gets the confirmation in the chat.

The recipe

When a guest asks about a room, follow these steps.

Find out the arrival and departure dates and how many adults and children are staying. Ask only for what they have not told you.

Check Mews for room categories available for every night of the stay and their direct prices.

Offer up to three options with the room category, total price and what the rate includes, for example breakfast or free cancellation up to 48 hours before arrival (example).

When they choose, collect their full name, email and phone number.

Send a deposit payment link. Example amount: the first night. Tell them the booking is confirmed once the deposit is paid.

When the payment is confirmed, check the category is still available. Create the reservation in Mews with the guest details, dates, category and rate, and add a note: “Deposit paid in chat” with the amount. If it has gone, offer the closest alternatives.

Send a confirmation with the dates, category, total price, check-in time and our address.

Only quote prices Mews returns. Never give a discount or promise a specific room. Hand group requests of more than three rooms to the front office. Reply in the guest’s language.

What to connect

Your fact sheet. Upload check-in times, address, breakfast and your cancellation policy to the AeroChat knowledge base.
Payments. Airwallex is built in: AeroChat sends the payment link and confirms the payment, and never sees card numbers. HitPay and Stripe connect with your API key if you already use them. Payment links are included from the Growth plan.

The result to expect

Guests who ask outside office hours get a price and a booking in the same conversation, and more of them book direct. Measure it with your own numbers: direct reservations created from chat, and bookings made outside office hours, for a month before and after you start.
