Turn WhatsApp Service Requests into Kickserv Jobs

By Alva Chew 4 min read Updated October 30, 2026

This recipe turns a service request in chat into a customer and a job in Kickserv, with the address and the work needed. Part of connecting Kickserv to WhatsApp and AI chat.

What happens today

The owner is on a job when a request comes in on WhatsApp. They reply between visits, ask for the address, and add the job to Kickserv that night if they remember. A few slip through every week, and the customers who waited longest are the ones who book someone else.

The flow that works

  1. AeroChat answers the customer’s question first, including the price from your Kickserv items.
  2. It asks what work they need, the service address and the day that suits them.
  3. It finds the customer in Kickserv or creates them.
  4. It creates a job with the work needed and adds a note with the preferred day.
  5. It tells the customer when your office will confirm.

The recipe

Copy this into AeroChat

When someone asks for a service visit, a repair or a cleaning, follow these steps.

  1. Ask what work they need. For aircon, ask how many units, the type and whether it is a service, a chemical wash or a repair (example questions).
  2. If they ask the price, find the matching item in our Kickserv items and reply with its name and price.
  3. Ask for the service address and the day and time of day that suits them.
  4. Search Kickserv for a customer with the phone number they are messaging from, then with their email. If there is none, ask for their name and email and create the customer with their service address.
  5. Create a job for that customer with a short description of the work. Add a note to the job with their preferred day and time and the channel they used.
  6. Tell them our office will confirm the date within one working day (example).

Never promise a date. If they report a leak, sparks or a burning smell, hand the conversation to our team at once. Reply in the customer’s language.

Change the questions and the reply time to match your services before you paste it.

What to connect

  • Kickserv. Copy the API token for the employee AeroChat should act as from the employee management section of your Kickserv account. Paste it with your account name when AeroChat asks. AeroChat reads items and customers and creates customers, jobs and notes.
  • Your knowledge base. Upload your service areas and what each service includes, so AeroChat can answer before it creates the job.

After you paste the recipe, AeroChat builds the workflow as a draft and shows a checklist: connect Kickserv, add your knowledge base if the recipe uses one, then switch it on. If it built the connection from Kickserv’s public documentation, the checklist asks you to check it once against the current docs.

Using a different system? If it has a public API, it connects to AeroChat the same way: describe what you want, paste in its key, and it runs.

What you still decide

  • Which services AeroChat takes requests for.
  • Which items it can quote from.
  • How fast your office confirms the date.

The result to expect

Every request from chat is a job in Kickserv with an address and a clear description, ready to schedule. Nothing waits in a phone until the evening, and you can see how much work chat brings in.

Measure it with your own numbers: jobs created from chat, and time from request to confirmed date, for a month before and after.

Next: answer job status questions in chat.

Works on every chat channel

This workflow runs the same way on WhatsApp, Instagram, Facebook Messenger, TikTok, Telegram, the chat on your website and email, with the same Kickserv connection behind it. See what each channel does on the Kickserv integration page.
