Answer Kickserv Job Status Questions on WhatsApp
This recipe answers “when are you coming” and “is my job booked” from the job in Kickserv, so nobody has to stop work to look it up. Part of connecting Kickserv to WhatsApp and AI chat.
What happens today
Customers message to check their booking the day before and again on the morning of the visit. Each one means opening Kickserv on a phone, finding the job and typing the date back. In a small team that person is often the one doing the work.
The flow that works
- AeroChat finds the customer in Kickserv by the phone number they message from.
- It reads their open jobs.
- It replies with the job, its status and the scheduled date and time.
- It adds anything new the customer tells it to the job as a note.
- Late jobs and changes go to a person.
The recipe
Copy this into AeroChat
When a customer asks about their booking or when we are coming, follow these steps.
- Find their customer record in Kickserv by the phone number they are messaging from. If there is no match, ask for the phone number or address on the booking.
- Read their open jobs. If there is more than one, ask which one they mean.
- Reply with the job description, its status and the scheduled date and time.
- If the job has no scheduled date yet, tell them our office is arranging it and will confirm within one working day (example).
- If the scheduled time has passed today, tell them we are checking with the team and hand the conversation to our office.
- If they give access details, parking instructions or a new contact number, add a note to the job in Kickserv and confirm.
Never change or cancel a job. If they want to reschedule or cancel, hand the conversation to our office. Reply in the customer’s language.
Change the reply time to your own before you paste it.
What to connect
- Kickserv. Copy the API token for the employee AeroChat should act as from the employee management section of your Kickserv account. Paste it with your account name when AeroChat asks. AeroChat reads customers and jobs and adds job notes.
- Your knowledge base. Upload your service hours and what customers should prepare before a visit, so AeroChat can answer the follow-up questions.
After you paste the recipe, AeroChat builds the workflow as a draft and shows a checklist: connect Kickserv, add your knowledge base if the recipe uses one, then switch it on. If it built the connection from Kickserv’s public documentation, the checklist asks you to check it once against the current docs.
Using a different system? If it has a public API, it connects to AeroChat the same way: describe what you want, paste in its key, and it runs.
Can’t find your tool? Message us in the chat on this page and we’ll tell you how it connects.
What you still decide
- What AeroChat shares about a job.
- When a late job goes to a person.
- Who handles reschedules.
The result to expect
Customers get their booking date in seconds, from the same job your team works from. The person on the tools stops answering status messages, and access details are on the job before anyone arrives.
Measure it with your own numbers: status questions answered without a person, and missed or wasted visits, for a month before and after.
Next: turn chat service requests into Kickserv jobs.
Works on every chat channel
This workflow runs the same way on WhatsApp, Instagram, Facebook Messenger, TikTok, Telegram, the chat on your website and email, with the same Kickserv connection behind it. See what each channel does on the Kickserv integration page.
