Tag WhatsApp Leads in Keap to Start Your Automations

By Alva Chew 4 min read Updated October 30, 2026

This recipe puts every chat lead into Keap with the tags that start your follow-up, so chat leads get the same sequence as your web form leads. Part of connecting Keap to WhatsApp and AI chat.

What happens today

Your web forms add people to Keap and start the right sequence on their own. Leads who message on WhatsApp or Instagram get a reply, but someone has to add them to Keap and apply the right tag by hand. Many never get tagged, so they never get the follow-up.

The flow that works

  1. AeroChat answers the lead’s question first.
  2. It asks for their name and email.
  3. It finds or creates the contact in Keap.
  4. It applies the tag your automation starts from, plus a tag for their interest.
  5. It adds a note with a short summary of the conversation.

The recipe

Copy this into AeroChat

When someone asks about our programmes or services, answer their question first from our knowledge base. Then follow these steps.

  1. If we do not have their name and email, ask: “Can I take your name and email so I can send you the details?”
  2. Search Keap for a contact with that email.
  3. If one exists, update their phone number if it is missing. If not, create a contact with their first name, last name, email, phone number and the channel they used as the lead source.
  4. Apply the tag Chat Lead (example). Then apply the tag for what they asked about: Programme Enquiry, Membership Enquiry or Workshop Enquiry (example tags).
  5. Add a note to the contact with a two-line summary of what they asked about and anything they said about their goals or timing.
  6. If they ask to speak to someone, create a task on the contact for our team and hand the conversation over.

Do not apply a purchase tag or any tag that charges or enrols them. Do not ask for their email more than once. Reply in the customer’s language.

Change the tag names to the ones your Keap automations start from before you paste it.

What to connect

  • Keap. An admin creates a Service Account Key in Settings, then API Settings, and pastes it in when AeroChat asks.
  • Your knowledge base. Upload your programme and service details to AeroChat so it can answer before it asks for details.

After you paste the recipe, AeroChat builds the workflow as a draft and shows a checklist: connect Keap, add your knowledge base if the recipe uses one, then switch it on. If it built the connection from Keap’s public documentation, the checklist asks you to check it once against the current docs.

Using a different system? If it has a public API, it connects to AeroChat the same way: describe what you want, paste in its key, and it runs.

What you still decide

  • Which tags AeroChat applies, and which automations they start.
  • When it asks for details: right away, or after answering.
  • Who gets the handover.

The result to expect

Chat leads land in Keap tagged and start the same follow-up as your other leads, without anyone typing them in.

Measure it with your own numbers: contacts created from chat, and chat leads who go on to buy, for a month before and after.

Next: tag chat leads in Keap.

Works on every chat channel

This workflow runs the same way on WhatsApp, Instagram, Facebook Messenger, TikTok, Telegram, the chat on your website and email, with the same Keap connection behind it. See what each channel does on the Keap integration page.
