Add WhatsApp Enquiries to GorillaDesk as Customers
This recipe makes sure every new enquiry in chat ends up in GorillaDesk as a customer, with the property address and a note of what they need. Part of connecting GorillaDesk to WhatsApp and AI chat.
What happens today
Someone sends a photo of ants in the kitchen or a green pool on a Sunday. The technician sees it between stops and means to pass it to the office. On Monday the office calls back without the address or what the problem was, and the customer has already booked whoever answered first.
The flow that works
- AeroChat answers the customer’s question first from your services and knowledge base.
- It asks what the problem is, the property type and the address.
- It checks GorillaDesk for the customer by phone and email, so returning customers are not duplicated.
- It creates or updates the customer, adds the service location and adds a note with the problem.
- It tells the customer when your office will call to book.
The recipe
Copy this into AeroChat
When someone asks for pest control, lawn care or pool service, answer their question first from our services and knowledge base. Then follow these steps.
- Ask what the problem is and where they see it, for example which pest and which rooms (example questions). If they send a photo, describe what you see and ask them to confirm.
- Ask the property type, house, apartment or business, and the full address.
- Ask for their name and email if we do not have them. Use the phone number they are messaging from.
- Search GorillaDesk for a customer with that phone number, then that email. If there is one, add the address as a service location if it is new. If not, create the customer with their name, phone, email and address.
- Add a note to the customer with the problem, the property type, any photos described and the channel they used.
- Tell them our office will call within one working day (example) to book the first visit.
Never promise a visit date or a treatment. Give prices only from our services list. Reply in the customer’s language.
Change the questions and the reply time to match your services before you paste it.
What to connect
- GorillaDesk. Activate the API add-on under Add-Ons, create an API key and paste it in when AeroChat asks. AeroChat reads customers and services and creates customers, service locations and notes.
- Your knowledge base. Upload your service areas, what each treatment includes and your preparation instructions, so AeroChat can answer before it asks for details.
After you paste the recipe, AeroChat builds the workflow as a draft and shows a checklist: connect GorillaDesk, add your knowledge base if the recipe uses one, then switch it on. If it built the connection from GorillaDesk’s public documentation, the checklist asks you to check it once against the current docs.
Using a different system? If it has a public API, it connects to AeroChat the same way: describe what you want, paste in its key, and it runs.
Can’t find your tool? Message us in the chat on this page and we’ll tell you how it connects.
What you still decide
- Which questions AeroChat asks for each service.
- Which areas you serve.
- Who calls new customers back, and how fast.
The result to expect
Every new enquiry is in GorillaDesk with an address and a clear note before your office opens. The first call back books the visit instead of asking the questions again.
Measure it with your own numbers: new customers created from chat, and how many booked a first visit, for a month before and after.
Next: answer next visit and invoice questions in chat.
Works on every chat channel
This workflow runs the same way on WhatsApp, Instagram, Facebook Messenger, TikTok, Telegram, the chat on your website and email, with the same GorillaDesk connection behind it. See what each channel does on the GorillaDesk integration page.
