Answer Glofox Credit and Membership Questions on WhatsApp
This recipe answers “how many classes do I have left?” and “when does my membership end?” in chat, from the member’s record in Glofox. Part of connecting Glofox to WhatsApp and AI chat.
What happens today
Members ask the front desk how many credits are left on their pack, or whether their membership renews this month. Each answer means opening Glofox, searching for the member and reading it back. At busy class times these messages wait, and some members only find out at check-in that their pack has run out.
The flow that works
- AeroChat asks for the email or phone number on the membership.
- It finds the member in Glofox.
- It reads their membership and the credits remaining.
- It replies with the balance and the membership details.
- If they are out of credits, it tells them what they can buy.
The recipe
Copy this into AeroChat
When a member asks about their credits, pack or membership, follow these steps.
- Ask for the email or phone number on their membership, unless we already have it.
- Find the member in Glofox. If you find more than one match, ask for their full name.
- Read their active membership and the credits remaining.
- Reply with the membership name, the credits left and the end or renewal date if Glofox has one.
- If they have 2 credits or fewer (example), tell them which packs and memberships we sell, with the prices from Glofox, and offer to hand over to the front desk to buy one.
Never share another member’s details. If the member disputes the balance, hand the conversation to the front desk with the member’s name and what they said. Reply in the customer’s language.
Change the low-balance number before you paste it.
What to connect
- Glofox. Request API access for your studio through Glofox’s developer portal. Enter the API key, API token and branch ID when AeroChat asks.
- Your knowledge base. Upload your membership rules, such as freezes and expiry, so AeroChat can answer the follow-up questions.
After you paste the recipe, AeroChat builds the workflow as a draft and shows a checklist: connect Glofox, add your knowledge base if the recipe uses one, then switch it on. If it built the connection from Glofox’s public documentation, the checklist asks you to check it once against the current docs.
Using a different system? If it has a public API, it connects to AeroChat the same way: describe what you want, paste in its key, and it runs.

What you still decide
- Which membership details AeroChat shares in chat.
- When it suggests buying a new pack.
- Who handles balance disputes.
The result to expect
Members get their balance in seconds, in the chat they already use. The front desk stops reading out balances, and members find out before class, not at check-in, when a pack has run out.
Measure it with your own numbers: balance questions answered without staff, and pack renewals that follow a balance question, for a month before and after.
