Book Glofox Classes from WhatsApp

This recipe turns a booking request in chat into a confirmed class booking in Glofox, with the real timetable offered in the conversation. Part of connecting Glofox to WhatsApp and AI chat.

What happens today

A member asks on Instagram whether there is a spin class before work tomorrow. Whoever replies opens Glofox, checks the timetable, replies with times and books it by hand when the member answers. Messages that arrive at night wait until the morning, and by then the class may be full. Sending the app link works for some members, but many prefer to finish the booking in the chat they started.

The flow that works

AeroChat finds out which class the member wants and on which day.

When a member asks to book a class, follow these steps.

Ask which class they want, for example spin, HIIT or reformer pilates (examples), and which day.

Check the Glofox timetable for that class on that day. If there is none, check the next 2 days (example).

Offer the sessions you find, with the time and trainer.

When they pick one, ask for the email or phone number on their membership and find them in Glofox.

Book them into that session in Glofox.

Confirm the class, date, time and our address.

If the session is full or Glofox refuses the booking, tell them why and offer the next session of the same class. If they are not a member yet, tell them about our trial offer from our knowledge base and hand over to the front desk. Reply in the customer’s language.

Change the class names and the number of days to look ahead before you paste it.

What to connect

Glofox. Request API access for your studio through Glofox’s developer portal. Enter the API key, API token and branch ID when AeroChat asks.
Your knowledge base. Upload your class descriptions, trial offer and address to AeroChat so it can answer questions before it books.
