Answer Deal Status Questions from Freshsales on WhatsApp

By Alva Chew 4 min read Updated October 30, 2026

This recipe lets customers ask where their order or proposal stands and get the answer from Freshsales in the same chat. Part of connecting Freshsales to WhatsApp and AI chat.

What happens today

Buyers message to ask if their proposal is approved or when an order will be confirmed. The person who sees the message has to find the deal in Freshsales and check with the owner. The buyer waits, and the owner gets interrupted for something the CRM already shows.

The flow that works

  1. The customer asks about their deal in chat.
  2. AeroChat finds their contact in Freshsales by phone number or email.
  3. It finds their open deal and reads the stage, owner and expected close date.
  4. It tells them where things stand in plain words.
  5. If they want a call back or a change, it creates a task for the deal owner.

The recipe

Copy this into AeroChat

When a customer asks about a proposal, an order or a deal we are working on, follow these steps.

  1. Find their contact in Freshsales by the phone number they message from. If there is none, ask for their email and search by that.
  2. Find the open deals linked to the contact. If there is more than one, list them by name and ask which one they mean.
  3. Tell them the stage in plain words. For example, Proposal Sent means it is with them for review, and Negotiation means we are working through their feedback (example stages).
  4. Tell them the name of the deal owner and the expected close date if one is set.
  5. If they want a call back or a change, create a task for the deal owner with what they asked for, due the next working day (example). Tell them the owner will be in touch.
  6. If they are unhappy or ask for something we have not offered, hand the conversation to the deal owner.

Only share these details if the phone number they message from, or the email they give, matches the record. If it does not match, ask for the email on their account and check again. If it still does not match, hand the conversation to our team. Do not share amounts that are not on a proposal already sent to them. Reply in the customer’s language.

Change the stage descriptions to match the deal pipeline in your Freshsales account before you paste it.

What to connect

  • Freshsales. Copy an API key from a user who can see the team’s deals, and your account URL. Paste them in when AeroChat asks.

After you paste the recipe, AeroChat builds the workflow as a draft and shows a checklist: connect Freshsales, then switch it on. If it built the connection from Freshsales’s public documentation, the checklist asks you to check it once against the current docs.

Using a different system? If it has a public API, it connects to AeroChat the same way: describe what you want, paste in its key, and it runs.

Can’t find your tool? Message us in the chat on this page and we’ll tell you how it connects.

What you still decide

  • Which stages AeroChat explains, and in what words.
  • Whether it shares the close date and owner’s name.
  • Which requests go straight to the owner.

The result to expect

Customers get the status of their deal in the chat, and owners get a task only when there is something to do. Fewer status-check messages reach your sales team.

Measure it with your own numbers: status questions answered without a handover, and tasks created from chat, for a month before and after.

Next: answer deal status questions in chat.

Works on every chat channel

This workflow runs the same way on WhatsApp, Instagram, Facebook Messenger, TikTok, Telegram, the chat on your website and email, with the same Freshsales connection behind it. See what each channel does on the Freshsales integration page.
