Answer Client Project Questions from Copper on WhatsApp
This recipe lets clients ask how their project is going and get the answer from Copper in the same chat. Part of connecting Copper to WhatsApp and AI chat.
What happens today
Clients message to ask whether work has started, what stage it is at, or who to talk to. The account lead is in meetings, so the message waits until the evening. The answer was in the project record in Copper.
The flow that works
- The client asks about their project.
- AeroChat finds their person in Copper by email or phone.
- It finds the projects linked to them and reads the status and assignee.
- It tells them where things stand in plain words.
- If they need something, it creates a task for the project assignee.
The recipe
Copy this into AeroChat
When a client asks about a project or piece of work we are doing for them, follow these steps.
- Find their person in Copper by the phone number they message from. If there is none, ask for their work email and search by that.
- Find the projects linked to the person or their company. If there is more than one open project, list them by name and ask which one they mean.
- Tell them the project status in plain words. For example, Open means work is in progress and Completed means we have delivered it (example statuses).
- Tell them who is running the project.
- If they ask for a change or a meeting, create a task for the project assignee with what they asked for, due the next working day (example). Tell them the assignee will reply.
- If they raise a complaint, hand the conversation to the project assignee.
Only share these details if the phone number they message from, or the email they give, matches the record. If it does not match, ask for the email on their account and check again. If it still does not match, hand the conversation to our team. Do not share fees or internal notes. Reply in the customer’s language.
Change the status descriptions to match how your team uses projects in Copper before you paste it.
What to connect
- Copper. Generate an API key under Settings, then API Keys, from a user who can see client projects. Paste the key and that user’s email in when AeroChat asks.
After you paste the recipe, AeroChat builds the workflow as a draft and shows a checklist: connect Copper, then switch it on. If it built the connection from Copper’s public documentation, the checklist asks you to check it once against the current docs.
Using a different system? If it has a public API, it connects to AeroChat the same way: describe what you want, paste in its key, and it runs.
Can’t find your tool? Message us in the chat on this page and we’ll tell you how it connects.
What you still decide
- Which project details AeroChat shares.
- Which requests become a task and which go straight to a person.
- How fast your team replies to a task from chat.
The result to expect
Clients get a status answer in the chat, and your team gets a task in Copper only when the client needs something.
Measure it with your own numbers: project questions answered without a handover, and tasks created from chat, for a month before and after.
Next: answer project status questions in chat.
Works on every chat channel
This workflow runs the same way on WhatsApp, Instagram, Facebook Messenger, TikTok, Telegram, the chat on your website and email, with the same Copper connection behind it. See what each channel does on the Copper integration page.
Let clients check their project in chat
