Book Acuity Scheduling Appointments from WhatsApp

This recipe turns a booking request in chat into a confirmed appointment in Acuity Scheduling, with real free times offered in the conversation. Part of connecting Acuity Scheduling to WhatsApp and AI chat.

What happens today

A client asks on WhatsApp whether you have anything on Saturday. Whoever replies opens Acuity, reads out a few times, waits for an answer and books it by hand. If nobody replies for a few hours, the client books somewhere else. Sending the booking page instead works for some clients, but many prefer to finish the booking in the chat they started.

The flow that works

AeroChat finds out which service the client wants and when.
It checks Acuity for free times for that appointment type.
It offers up to three times close to what they asked for.
It takes their details and books the time they pick in Acuity.
It confirms the service, date, time and address.

The recipe

Copy this into AeroChat

When a client asks to book, follow these steps.

Ask which service they want. Match it to one of our Acuity appointment types, for example a 60-minute massage or a first consultation (examples). If they are unsure, describe the options with the length and price from Acuity.

Ask which day and time suit them.

Check Acuity for free times for that appointment type on that day. If there are none, check the next 3 days (example).

Offer up to three times closest to what they asked for.

When they choose one, ask for their first name, last name, email and phone number, unless we already have them.

Book the appointment in Acuity with those details. Add anything they said about the visit to the appointment notes.

Confirm the service, date, time and our address, and tell them the confirmation email will come from us.

Only offer times Acuity shows as free. Only quote services and prices from Acuity. If they ask something you cannot answer, tell them a team member will reply and hand over. Reply in the customer’s language.

Change the appointment types and the number of days to look ahead before you paste it.

What to connect

Acuity Scheduling. In Acuity, open Integrations, find the API section and copy your User ID and API key. Enter both when AeroChat asks.
Your knowledge base. Upload your service details and address to AeroChat so it can answer questions before it books.

After you paste the recipe, AeroChat builds the workflow as a draft and shows a checklist: connect Acuity Scheduling, add your knowledge base if the recipe uses one, then switch it on. If it built the connection from Acuity Scheduling’s public documentation, the checklist asks you to check it once against the current docs.
