Answer Workiz Job Status Questions on WhatsApp

By Alva Chew 4 min read Updated October 30, 2026

This recipe answers “when is the technician coming” and “is my job booked” from the job in Workiz, so your dispatcher does not have to look it up. Part of connecting Workiz to WhatsApp and AI chat.

What happens today

On a busy day the most common message is a customer asking when someone will turn up. The dispatcher stops what they are doing, opens Workiz, finds the job and types the time back. Ten of those an hour, and the phones and new requests wait.

The flow that works

  1. AeroChat finds the customer’s jobs in Workiz by the phone number they message from.
  2. It replies with the job type, the status and the scheduled date and time.
  3. It names the technician assigned, if your recipe allows it.
  4. It adds anything new the customer tells it, such as a gate code, to the job.
  5. If the time window has passed, it hands the conversation to your dispatcher.

The recipe

When a customer asks about their booking, their job or when the technician is coming, follow these steps.

  1. Find their jobs in Workiz by the phone number they are messaging from. If there is no match, ask for the phone number or address on the booking.
  2. If they have more than one open job, ask which one they mean.
  3. Reply with the job type, the status and the scheduled date and time window. Give the technician’s first name if one is assigned.
  4. If the job has no scheduled time yet, tell them our office is arranging it and will confirm within one working day (example).
  5. If the scheduled window has already passed today, tell them we are checking with the technician and hand the conversation to our dispatcher.
  6. If they give access details, a gate code or a new contact number, add it to the job notes in Workiz and confirm.

Never change or cancel a job. If they want to reschedule or cancel, hand the conversation to our office. Reply in the customer’s language.

Change the reply time to your own before you paste it.

What to connect

  • Workiz. Turn on the Developer API add-on in the Workiz Feature Center, then copy the API token and secret from Settings, Integrations and Developer. AeroChat reads jobs and your team and updates job notes.
  • Your knowledge base. Upload your service hours and what customers should prepare before a visit, so AeroChat can answer the follow-up questions.

After you paste the recipe, AeroChat builds the workflow as a draft and shows a checklist: connect Workiz, add your knowledge base if the recipe uses one, then switch it on. If it built the connection from Workiz’s public documentation, the checklist asks you to check it once against the current docs.

Using a different system? If it has a public API, it connects to AeroChat the same way: describe what you want, paste in its key, and it runs.

What you still decide

  • Whether AeroChat shares the technician’s name.
  • When a late job goes to a person.
  • What customers can add to a job from chat.

The result to expect

Customers get their booking time in seconds, from the same job your dispatcher sees. Only the late or changed jobs reach a person, and access details land on the job before the technician leaves.

Measure it with your own numbers: status questions answered without a person, and calls to the office about arrival times, for a month before and after.

Next: turn chat service requests into Workiz leads.

Works on every chat channel

This workflow runs the same way on WhatsApp, Instagram, Facebook Messenger, TikTok, Telegram, the chat on your website and email, with the same Workiz connection behind it. See what each channel does on the Workiz integration page.
