Send WhatsApp Enquiries to Simpro Leads

By Alva Chew 4 min read Updated October 30, 2026

This recipe makes sure every enquiry for new work in chat ends up in Simpro as a lead, with the customer, the site and the details your estimators need. Part of connecting Simpro to WhatsApp and AI chat.

What happens today

Enquiries arrive on WhatsApp and Instagram, often with photos of the job. Whoever sees them first forwards them to the office, and someone retypes the customer, the site and the request into Simpro. Enquiries that arrive after hours or on a technician’s phone sit for days, and some never become leads at all.

The flow that works

  1. AeroChat answers the customer’s question first from your knowledge base.
  2. It asks what work they need, the site address and the best time to call.
  3. It searches Simpro for the customer, so returning customers are not duplicated.
  4. It creates or updates the customer, adds the site if it is new, and creates a lead.
  5. It tells the customer when your estimator will call.

The recipe

Copy this into AeroChat

When someone asks for a quote, an installation or new work, answer their question first from our knowledge base. Then follow these steps.

  1. Ask what work they need. For aircon, ask how many units, the type and the rooms (example questions). If they send photos, describe what you see and ask them to confirm.
  2. Ask for the site address and whether it is a home or a business.
  3. Ask for their name, email and the best day and time to call, if we do not have them.
  4. Search Simpro for a customer with the phone number they are messaging from, then with their email. If there is one, update any missing details. If not, create the customer with their name, phone and email.
  5. If the site address is not already linked to the customer, add it as a new site.
  6. Create a lead for that customer and site with a short description of the work, the best time to call and the channel they used.
  7. Tell them our estimator will call within one working day (example).

Do not ask for the same detail twice. Never quote a price for project work. Reply in the customer’s language.

Change the questions and the reply time to match your trade before you paste it.

What to connect

  • Simpro. Create an API application in System Setup, then API, then Applications, with API Key as the authentication method. Paste the key and your Simpro web address in when AeroChat asks. AeroChat reads and creates customers and sites and creates leads.
  • Your knowledge base. Upload your services, service areas and what each type of work involves, so AeroChat can answer before it asks for details.

After you paste the recipe, AeroChat builds the workflow as a draft and shows a checklist: connect Simpro, add your knowledge base if the recipe uses one, then switch it on. If it built the connection from Simpro’s public documentation, the checklist asks you to check it once against the current docs.

Using a different system? If it has a public API, it connects to AeroChat the same way: describe what you want, paste in its key, and it runs.

What you still decide

  • Which questions AeroChat asks for each type of work.
  • Who owns chat leads in Simpro.
  • How fast your estimator calls back.

The result to expect

Every enquiry from chat is a Simpro lead with the customer, the site and a clear description, ready for an estimator. Nothing waits on a technician’s phone, and you can see how much work chat brings in.

Measure it with your own numbers: leads created from chat, and leads that became quotes, for a month before and after.

Next: answer quote and job questions in chat.

Works on every chat channel

This workflow runs the same way on WhatsApp, Instagram, Facebook Messenger, TikTok, Telegram, the chat on your website and email, with the same Simpro connection behind it. See what each channel does on the Simpro integration page.
