Answer Simpro Quote and Job Questions on WhatsApp
This recipe answers “where is my quote” and “when is the team coming” from Simpro, so your coordinators do not have to look them up. Part of connecting Simpro to WhatsApp and AI chat.
What happens today
Customers message to ask whether their quote is ready, then again to ask when the work starts, then again on the day. Each one sends a coordinator into Simpro to find the quote, the job and the schedule. Those questions crowd out the work of actually scheduling jobs.
The flow that works
- AeroChat finds the customer in Simpro by phone number or email.
- For a quote question, it reads their quotes and replies with the status.
- For a job question, it reads their open jobs and the schedule and replies with the next visit.
- It adds a note to the job when the customer sends access details or a question.
- Late jobs, changes and quote negotiations go to a person.
The recipe
Copy this into AeroChat
When a customer asks about a quote or a job, follow these steps.
- Find the customer in Simpro by the phone number they are messaging from, then by email. If there is no match, ask for the site address on the quote or job, and only continue if it matches.
- If they have more than one open quote or job, ask which site or work they mean.
- For a quote, reply with the quote number, what it covers and its status. If it is still being prepared, tell them our estimator will send it within two working days (example).
- For a job, reply with the job number, its stage and the date and time of the next scheduled visit.
- If they send access details, parking instructions or a question for the team, add a note to the job in Simpro and confirm.
- If the visit time has passed today, or they want to change the date, hand the conversation to our service coordinator.
Never change a quote, a price or a schedule. If they want to negotiate a quote, hand the conversation to the estimator. Reply in the customer’s language.
Change the reply times to your own before you paste it.
What to connect
- Simpro. Create an API application in System Setup, then API, then Applications, with API Key as the authentication method. Paste the key and your Simpro web address in when AeroChat asks. AeroChat reads customers, quotes, jobs and schedules and adds job notes.
- Your knowledge base. Upload how long quotes usually take and what customers should prepare before a visit, so AeroChat can answer the follow-up questions.
After you paste the recipe, AeroChat builds the workflow as a draft and shows a checklist: connect Simpro, add your knowledge base if the recipe uses one, then switch it on. If it built the connection from Simpro’s public documentation, the checklist asks you to check it once against the current docs.
Using a different system? If it has a public API, it connects to AeroChat the same way: describe what you want, paste in its key, and it runs.
Can’t find your tool? Message us in the chat on this page and we’ll tell you how it connects.
What you still decide
- What AeroChat shares about a quote or a job.
- When a job goes to a person.
- Who handles quote questions.
The result to expect
Customers get the status of their quote or job in seconds, from the same records your coordinators see. Your team spends its time scheduling and finishing work, and access notes are on the job before anyone arrives.
Measure it with your own numbers: status questions answered without a person, and calls to the office about quotes and visits, for a month before and after.
Next: send chat enquiries to Simpro leads.
Works on every chat channel
This workflow runs the same way on WhatsApp, Instagram, Facebook Messenger, TikTok, Telegram, the chat on your website and email, with the same Simpro connection behind it. See what each channel does on the Simpro integration page.
