Answer FieldPulse Estimate and Invoice Questions on WhatsApp
This recipe answers “can you resend my estimate” and “how much do I owe” from FieldPulse, and sends the customer the link to view or pay. Part of connecting FieldPulse to WhatsApp and AI chat.
What happens today
A customer cannot find the estimate you emailed last week and asks for it on WhatsApp. Another wants to know if their invoice is paid. Each one means someone in the office opening FieldPulse, finding the record and forwarding the link, while the customer waits and the decision on the estimate slips.
The flow that works
- AeroChat finds the customer in FieldPulse by the phone number they message from.
- It reads their estimates and invoices.
- It replies with the status and total, and sends the link to view the estimate or pay the invoice.
- It adds a comment to the job when the customer asks a question your team should see.
- Disputes and changes go to your office.
The recipe
Copy this into AeroChat
When a customer asks about an estimate, an invoice or what they owe, follow these steps.
- Find their customer record in FieldPulse by the phone number they are messaging from. If there is no match, ask for the email or address on their account, and only continue if it matches.
- For an estimate, reply with the estimate number, what it covers, the total and its status, and send the link to view it.
- For an invoice, reply with the invoice number, the total, the amount due and the due date, and send the link to view and pay it.
- If they have a question about an item, add it as a comment on the job in FieldPulse and tell them our team will reply within one working day (example).
- If they say they want to go ahead with an estimate, tell them our office will confirm the start date and hand the conversation over.
Never change an estimate or an invoice, and never offer a discount. If they dispute an amount, hand the conversation to our office. Reply in the customer’s language.
Change the reply time to your own before you paste it.
What to connect
- FieldPulse. Ask FieldPulse support for an API key for your account and paste it in when AeroChat asks. AeroChat reads customers, estimates and invoices and adds comments to jobs.
- Your knowledge base. Upload your payment terms and the payment methods you accept, so AeroChat can answer the follow-up questions.
After you paste the recipe, AeroChat builds the workflow as a draft and shows a checklist: connect FieldPulse, add your knowledge base if the recipe uses one, then switch it on. If it built the connection from FieldPulse’s public documentation, the checklist asks you to check it once against the current docs.
Using a different system? If it has a public API, it connects to AeroChat the same way: describe what you want, paste in its key, and it runs.
Can’t find your tool? Message us in the chat on this page and we’ll tell you how it connects.
What you still decide
- How AeroChat checks who is asking before it shares an amount.
- Who handles a disputed invoice.
- Who confirms an accepted estimate.
The result to expect
Customers get their estimate or invoice link in the chat they used to ask, from the same record your office sees. Estimates get looked at while the customer is still interested, and invoices get paid without a phone call.
Measure it with your own numbers: days from estimate sent to approved, and days to payment, for a month before and after.
Next: send chat leads to FieldPulse.
Works on every chat channel
This workflow runs the same way on WhatsApp, Instagram, Facebook Messenger, TikTok, Telegram, the chat on your website and email, with the same FieldPulse connection behind it. See what each channel does on the FieldPulse integration page.
