Send WhatsApp Leads to FieldPulse

By Alva Chew 4 min read Updated October 30, 2026

This recipe makes sure every request for work that arrives in chat ends up in FieldPulse as a lead, with the job details your estimator needs. Part of connecting FieldPulse to WhatsApp and AI chat.

What happens today

Requests arrive on WhatsApp and Instagram between jobs. The owner reads them on site, means to add them to FieldPulse that evening, and some never make it. The ones that do are missing the address or what the customer actually needs, so the first call back is spent asking again.

The flow that works

  1. AeroChat answers the customer’s question first from your knowledge base.
  2. It asks what work they need, the service address and the best time to call.
  3. It searches FieldPulse for the customer by phone and email, so returning customers are not duplicated.
  4. It creates or updates the customer and creates a lead with the request.
  5. It tells the customer when your team will be in touch.

The recipe

Copy this into AeroChat

When someone asks for a quote, an installation or a service visit, answer their question first from our knowledge base. Then follow these steps.

  1. Ask what work they need. For aircon, ask how many units, the type and the problem (example questions).
  2. Ask for the service address and the best day and time to call them.
  3. If we do not have their name and email, ask: “Can I take your name and email so our team can send your estimate?”
  4. Search FieldPulse for a customer with that phone number, then with that email. If there is one, update any missing details. If not, create a customer with their name, phone, email and address.
  5. Create a lead for that customer with a short description of the work, the best time to call and the channel they used as the source.
  6. Tell them our team will call within one working day (example) to arrange an estimate.

Do not ask for their email more than once. Never quote a price that is not in our knowledge base. Reply in the customer’s language.

Change the questions and the reply time to match your trade before you paste it.

What to connect

  • FieldPulse. Ask FieldPulse support for an API key for your account and paste it in when AeroChat asks. AeroChat reads and creates customers and creates leads.
  • Your knowledge base. Upload your services, service areas and standard prices to AeroChat so it can answer before it asks for details.

After you paste the recipe, AeroChat builds the workflow as a draft and shows a checklist: connect FieldPulse, add your knowledge base if the recipe uses one, then switch it on. If it built the connection from FieldPulse’s public documentation, the checklist asks you to check it once against the current docs.

Using a different system? If it has a public API, it connects to AeroChat the same way: describe what you want, paste in its key, and it runs.

Can’t find your tool? Message us in the chat on this page and we’ll tell you how it connects.

What you still decide

  • Which questions AeroChat asks for each type of work.
  • Which pipeline status new chat leads start in.
  • Who calls the lead back, and how fast.

The result to expect

Every request for work is in FieldPulse with an address and a clear description, without anyone typing it on site. Your estimator calls back with what they need, and you can see how much work chat brings in.

Measure it with your own numbers: leads created from chat, and leads that became jobs, for a month before and after.

Next: answer estimate and invoice questions in chat.

Works on every chat channel

This workflow runs the same way on WhatsApp, Instagram, Facebook Messenger, TikTok, Telegram, the chat on your website and email, with the same FieldPulse connection behind it. See what each channel does on the FieldPulse integration page.
