Answer Fergus Quote and Job Questions on WhatsApp
This recipe answers “where is my quote” and “when are you coming” from Fergus, and records the customer’s yes when they accept a quote in chat. Part of connecting Fergus to WhatsApp and AI chat.
What happens today
A customer reads your quote on their phone and replies “looks good, go ahead” on WhatsApp. Nobody marks it accepted in Fergus until the office catches up, so the job is not scheduled. The same customer then messages twice more to ask when you are starting.
The flow that works
- AeroChat finds the customer in Fergus by the phone number they message from.
- For a quote question, it reads the quote and replies with what it covers, the total and its status.
- When the customer clearly accepts, it confirms the quote number and total with them and marks the quote accepted.
- For a job question, it reads the calendar events on the job and replies with the next visit.
- Changes, negotiations and late visits go to your office.
The recipe
Copy this into AeroChat
When a customer asks about a quote or a job, follow these steps.
- Find the customer in Fergus by the phone number they are messaging from. If there is no match, ask for the site address on the quote or job, and only continue if it matches.
- If they have more than one open quote or job, ask which site or work they mean.
- For a quote, reply with the quote number, a short summary of the work, the total and its status.
- If they say they accept the quote, repeat the quote number and total and ask them to reply yes to confirm. Only after a clear yes, mark the quote accepted in Fergus, add a note that it was accepted in chat, and tell them our office will confirm the start date within one working day (example).
- For a job, reply with its status and the date and time of the next calendar event on it.
- If they send access details or a question for the team, add a note to the job and confirm.
Never change a quote or a price, and never decline a quote for the customer. If they want changes, a discount or a different date, hand the conversation to our office. Reply in the customer’s language.
Change the reply time to your own before you paste it. Leave out step 4 if you want your office to record every acceptance.
What to connect
- Fergus. An Admin or Full User generates a personal access token in Settings, then Integrations, then Fergus API. Paste it in when AeroChat asks. AeroChat reads customers, quotes, jobs and calendar events, adds notes and marks quotes accepted.
- Your knowledge base. Upload your quote terms, deposit rules and what customers should prepare before work starts, so AeroChat can answer the follow-up questions.
After you paste the recipe, AeroChat builds the workflow as a draft and shows a checklist: connect Fergus, add your knowledge base if the recipe uses one, then switch it on. If it built the connection from Fergus’s public documentation, the checklist asks you to check it once against the current docs.
Using a different system? If it has a public API, it connects to AeroChat the same way: describe what you want, paste in its key, and it runs.

What you still decide
- Whether customers can accept a quote in chat.
- What AeroChat shares about a quote or a job.
- Who handles changes and late visits.
The result to expect
Accepted quotes are marked in Fergus the moment the customer says yes, so jobs get scheduled sooner. Customers get quote and visit updates in seconds, from the same records your office works from.
Measure it with your own numbers: days from quote sent to accepted, and status calls to the office, for a month before and after.
Next: send chat enquiries to Fergus.
Works on every chat channel
This workflow runs the same way on WhatsApp, Instagram, Facebook Messenger, TikTok, Telegram, the chat on your website and email, with the same Fergus connection behind it. See what each channel does on the Fergus integration page.
